Position Summary
We are seeking a reliable and detail-oriented Administrative Assistant to support the daily operations of our growing small business. This role serves as the first point of contact for visitors, customers, and vendors while providing administrative, bookkeeping, and project support to ensure smooth office operations.
Key Responsibilities
- Serve as the front desk representative by greeting visitors, receiving packages, and monitoring the front office area.
- Respond to customer inquiries via email and provide timely, professional communication.
- Receive and process purchase orders submitted by customers.
- Enter invoices, purchase orders, and related financial information into QuickBooks accurately and efficiently.
- Maintain and update spreadsheets, reports, and company records using Microsoft Excel.
- Assist with project tracking, data collection, and basic project analysis.
- Organize and maintain electronic and physical files.
- Coordinate with internal team members to ensure orders, invoices, and customer requests are processed correctly.
- Perform general administrative duties including data entry, document preparation, and office support as needed.
- Assist management with special projects and operational tasks.
- Monitor office supply inventory and place orders as needed.
Qualifications
- High school diploma or equivalent from an accredited institution.
- Previous administrative, office support, customer service, or bookkeeping experience preferred.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Experience with QuickBooks or similar accounting software preferred.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Professional demeanor and customer-focused attitude.
- Self-motivated and capable of working independently in a small business environment.
- Ability to lift up to 25lbs.
