Position Overview
The HR Assistant plays a critical support role within the Human Resources department, working directly under the supervision of the Director of HR. This position is responsible for ensuring new hire onboarding documentation is complete and compliant, and for managing the ongoing annual HR and licensure compliance requirements for all employees. The ideal candidate is highly organized, detail oriented, deadline driven, and comfortable working in a fast paced healthcare environment.
Key Responsibilities include but are not limited to
Onboarding Documentation
- Collect all required pre-employment and onboarding documentation from Recruiting for new hires including background checks, drug screens, TB clearance, and CPR certification
- Ensure all onboarding documentation is complete, accurate, and filed in the appropriate systems prior to orientation
- Support orientation setup and facilitation as needed
Annual HR & Licensure Compliance
- Track and manage expiration dates for all employee compliance items including:
- RN, LPN, and CNA licenses - verified against Georgia Board of Nursing and GA Nurse Aide Registry
- CPR and First Aid certifications
- TB screenings - PPD, QuantiFERON-TB Gold, or MD/NP clearance letter
- Driver's license validity
- Auto insurance on vehicles used to transport clients
- Influenza vaccination program coordination - collecting proof of vaccination or completed declination process annually
- Other vaccination documentation where applicable
- Any additional compliance items as required by Georgia DCH, DBHDD, or company policy
- Generate monthly expiration reports and conduct proactive outreach to employees with upcoming expirations via email, text and phone
- Follow up on non-responsive employees per established SOP and escalate as needed
- Update employee records in Viventium and AlayaCare upon receipt of renewed documentation
- Maintain accurate and organized compliance tracking spreadsheets
- Assist with other administrative, compliance, or HR related needs
General HR Support
- Assist the HR Director with employee relations documentation, correspondence, and file management
- Maintain confidentiality of all employee information at all times
- Support the HR Director on special projects and initiatives as assigned
- Serve as a point of contact for employee questions regarding compliance and documentation
Qualifications
Required
- 2 to 3 years of HR or administrative experience
- Strong organizational skills with exceptional attention to detail
- Proficiency in Microsoft 365 - Outlook, Teams, Word, Excel, and OneDrive
- Ability to manage multiple deadlines simultaneously without sacrificing accuracy
- Strong written and verbal communication skills
- Ability to handle sensitive and confidential information with discretion
Preferred
- Healthcare compliance experience strongly preferred
- Experience in a home care, home health, or healthcare setting
- Familiarity with Viventium, AlayaCare, or similar HRIS/EMR systems
- Experience with Adobe Sign or similar e-signature platforms
- Knowledge of Georgia PHCP licensure requirements and DBHDD compliance standards
