We are looking for a highly organized, personable, and dependable Sales & Administrative Lead to help manage the daily flow of customer quotes, job scheduling, vendor orders, and inventory needed for customer jobs.
This is not just a basic office position. We need someone who can keep track of many small details, follow through on every task, communicate clearly with customers, and help resolve workflow issues before they become bigger problems.
Fireplace knowledge is not required. We can teach the products, vendors, and industry details. What we need is someone who is organized, proactive, friendly, and capable of keeping jobs moving from quote to completion.
Responsibilities
Responsibilities include:
Managing customer quote requests from start to finish
Answering customer calls and emails in a friendly, professional manner
Preparing, sending, and following up on customer quotes
Scheduling jobs and coordinating timing with customers and the service team
Ordering inventory, materials, and supplies needed for scheduled jobs
Contacting vendors for pricing, availability, order status, and delivery updates
Tracking open quotes, pending orders, scheduled jobs, and backordered items
Keeping customers updated on quote status, job scheduling, and order delays
Maintaining accurate notes, job files, logs, whiteboards, or office tracking systems
Communicating clearly with coworkers so everyone knows the status of each job
Identifying workflow problems and helping create better office processes
Making sure small details do not fall through the cracks

Experience
Fireplace experience is not required.

Compensation & Benefits
Salary range: $50,000–$55,000 per year, based on experience and qualifications
