Position Overview
We are looking for a proactive and highly organized Project Coordinator to support international industrial and engineering projects from order kickoff through final delivery.
This is a client-facing role combining project scheduling, customer and supplier coordination, action tracking, and technical documentation. You will work with international customers and coordinate internally across Engineering, Procurement, Production, Quality, and Shipping.
The role provides exposure to the full lifecycle of engineered equipment projects and an opportunity to grow into Project Management.
Key Responsibilities
- Maintain project schedules, milestones, deadlines, and action-item trackers and proactively follow up to keep projects on schedule.
- Represent the company professionally with international customers and participate in project meetings, progress calls, FATs, inspections, and project reviews.
- Coordinate activities and deliverables across Engineering, Procurement, Production, Quality, suppliers, and Shipping.
- Organize and track project and supplier documentation, including drawings, datasheets, certificates, test reports, inspection documents, manuals, customer comments, revisions, and approvals.
- Monitor procurement, production, inspection, and shipment milestones and escalate potential delays or missing information early.
- Prepare meeting minutes, project status updates, and follow actions through completion.
- Support FAT/inspection coordination, shipment readiness, final documentation packages, and project closeout.
Preferred Qualifications
- 3–5 years of project coordination experience with EPC or a similar technical environment.
- Experience coordinating projects involving customers, suppliers, manufacturing, technical documentation, and delivery schedules.
- Strong organizational and follow-up skills with the ability to manage multiple active projects and deadlines.
- Excellent written and verbal communication skills and confidence representing the company with international customers.
- Strong Excel and documentation-management skills; ERP or project scheduling experience is a plus.
Schedule & Flexibility
This is a hybrid position based in the San Jose/Santa Clara area. Because we work with customers around the world, the position requires flexibility to work outside regular business hours when needed, including occasional early-morning or evening meetings, to accommodate international customer schedules.
