JOB SUMMARY: Provide clients and staff with high quality support in the area of technology support services, including Technology consortia offerings. Assist with organizing, managing, and controlling documentation for technology services initiatives and program requirements. Assist with program reports and other critical documentation areas. Function with minimal supervision in a highly visible environment.
POSITION REQUIREMENTS:
JOB KNOWLEDGE, SKILLS/ABILITIES
Knowledge
- High school diploma or GED required.
- Two to three years of secretarial experience required with high level of proficiency.
- Two to three years of customer service experience required in person and by telephone.
- Experience in school/education service center environment with a proven record of success required.
- Working knowledge of office procedures and the operation of common office equipment.
- Familiarity with Region 20 service contracts and billing, to include experience with APEX business applications.
Skills/Abilities
- Typing, proofreading, and writing proficiency required.
- Demonstrated competence in handling detailed procedures and forms in an accurate and expedient manner, compiling reports for programs and initiatives, and in providing exceptional customer service to a large number of people.

- Proficiency with computers (PCs and/or MACs) to include file and desktop management and operations, and working in a cloud-based and/or networked environment.

PRODUCTS AND OUTCOMES
- Assist in the management of administrative processes and workflows of multiple Technology consortia offerings and ensure quality control.
- Interact regularly with school district personnel, private vendors, representatives of state agencies and visitors.
- Ensure clients are aware of and assisted with their full range of services offered by ESC-20 through their consortia membership.
- Assist callers and visitors in clearly defining needs and direct them to the proper person for assistance; take clear notes of problems and/or suggestions of the clients.
- Contact clients concerning questions about their requests when directed; relay information regarding the status of the hosted systems.
- Assist in the management of product orders, billing and reconciliation of consortia services offered by ESC-20.
- Produce professional letters, purchase orders, and payment authorizations for Technology Services. Ensure billing for commitments, contracts, and special requests is accomplished with use of proper budget codes and entered in the Accounts Receivable System in a timely manner.
- Assist in making arrangements for conferences, meetings, trainings, and interviews.
- Pickup/deliver products for ESC-20 clients and, when applicable, ship products in the most expeditious and prudent way.
- Maintain output log to ensure clients sign for all products received.
- Assist with tracking revenues and expenditures of Technology Services.
- Assist in annual updates to ESC-20 commitment forms and Catalog of Services.
- Review annually services performed in excess of the commitment for billing purposes.
- Organize tasks for expedient and efficient accomplishment.

SUPERVISION AND ORGANIZATION OF STAFF
BUDGET RESPONSIBILITY
- Be aware of and follow Center guidelines of allowable costs when recommending use of public funds for expenditures for supplies, equipment, and facilities in area of assignment.
PHYSICAL/MENTAL DEMANDS & ENVIRONMENTAL FACTORS
- Tools/Equipment Used: Standard office equipment including personal computer, peripherals, copy machine, phone, etc.
- Posture: Prolonged sitting; occasional standing, bending/stooping, pushing/pulling, and twisting.
- Motion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching.
- Lifting: Light lifting and carrying (less than 15 pounds); occasional heavy lifting/carrying (15–50 pounds).
- Environment: This role primarily operates in an in-person, dynamic office setting, characterized by frequent verbal communication, movement, and collaboration among team members (small to large in-person gatherings/meetings); exposure to low or intense illumination; exposure to office equipment noise; may work prolonged or irregular hours; occasional travel; and, occasional remote work (after pre-determined length of employment).

ADDITIONAL REQUIREMENTS
