Job Summary
The Sales & Patient Care Coordinator is the first point of contact for Nefer Aesthetic Clinic, responsible for turning phone calls, walk-ins, and online inquiries into booked, deposited appointments. This role blends front desk operations — scheduling, patient check-in, payment processing, and EMR management — with an active sales function, requiring the ability to confidently present pricing, memberships, and promotions, overcome objections, and close consultations into confirmed treatments. The ideal candidate is persuasive, organized, and delivers a luxury customer experience while consistently meeting booking and revenue goals.
Key Responsibilities:
- Welcome patients and visitors with a professional, friendly, and luxury customer service experience.
- Answer incoming phone calls, text messages, emails, and online inquiries promptly, with the goal of converting every inquiry into a booked, deposited appointment.
- Actively sell and close consultations, treatments, memberships, and packages — both over the phone and in person — using persuasive, consultative sales techniques.
- Schedule, confirm, reschedule, and manage patient appointments efficiently, prioritizing deposit collection at time of booking.
- Follow up proactively with leads, no-shows, and past patients to re-engage them and secure new appointments.
- Verify patient information, complete registrations, and ensure all required forms and consents are properly completed.
- Collect payments, process transactions, issue receipts, and reconcile daily payments and deposits.
- Clearly explain clinic pricing, financing options, memberships, and promotions in a way that overcomes objections and drives commitment.
- Assist patients with treatment scheduling and recommend appropriate add-on or follow-up appointments to increase ticket value.
- Coordinate patient flow to ensure providers remain on schedule.
- Maintain accurate patient and sales records within the electronic medical record (EMR) system.
- Verify insurance or financing information when applicable.
- Support treatment coordinators and providers with administrative needs.
- Convert consultations into booked, deposited treatments by combining exceptional customer service with strong closing skills.
- Track and report daily/weekly booking and closing numbers against sales goals.
- Maintain a clean, organized, and welcoming reception area.
- Monitor office supplies and notify management when replenishment is needed.
- Assist with inventory receiving and basic administrative tasks.
- Follow all HIPAA regulations and maintain strict patient confidentiality.
- Communicate effectively with providers, nurses, estheticians, and management.
- Handle patient concerns and objections professionally, escalating issues when appropriate.
- Support daily operational goals, patient satisfaction initiatives, and clinic sales/revenue objectives.
- Perform opening and closing front desk procedures.
- Participate in team meetings, sales training, and continuous quality improvement initiatives.
Preferred Skills
- Proven ability to close sales/appointments, with a strong, persuasive, and confident phone and in-person presence.
- Excellent verbal and written communication skills.
- Strong customer service and consultative sales abilities — comfortable overcoming objections and asking for the deposit/commitment.
- Experience with EMR and scheduling software (PatientNow experience preferred).
- Ability to multitask and stay goal-oriented in a fast-paced medical aesthetic environment.
- Strong organizational and time-management skills.
- Professional appearance and positive, high-energy attitude.
- Bilingual (English & Spanish) preferred.
- Experience in a medical spa, dermatology, plastic surgery, or aesthetic practice — ideally in a sales or booking role — is a plus.

Rate: $11.00 per hour + Monthly Sales Incentives per deposit appointments closed
