Job Description:
As a Central Fill Maintenance Planning Specialist, you’ll plan, schedule, and coordinate manpower resources,
parts, material, and equipment access in support of maintenance functions in a centralized automated
pharmacy. You’ll provide maintenance planning support to ensure reliability of facilities and processes,
including optimizing maintenance processes, satisfying safety concerns, and providing a short-and long-range
planning perspective that considers people, facility, equipment, and supplies.
KEY RESPONSIBILITIES & ESSENTIAL FUNCTIONS
- Responsible for planning, executing and coordinating maintenance execution and inventory control,
driving cost savings and maximizing asset reliability by ensuring the right resources are available at the
right time.
- Manages proactive planning, accurate scheduling, and strategic resource management of parts and
equipment.
- High level of engagement and negotiation with vendors to reduce inventory stock and cost
- Responsible for maintaining proper inventory levels and control costs by determining stock item lists,
appropriate inventory levels, and reorder points; make parts-related decisions based on time, cost, and
lifecycle
- Audit parts usage and develop parts kits to reduce equipment downtime; identify opportunities to
standardize parts, substitute less expensive components and reduce spending
- Manages inventory accuracy standards and processes to sustain 95%+ accuracy
- Maintain and execute vendor approval process in conjunction with supplier onboarding team
- Works with Asset Management team to maintain parts and equipment set up in EAM database;
Create/update POs and invoices though CMMS or EAM
- Prioritizes timing of routine maintenance and planned shutdown events while collaborating with
maintenance team leader, specialist and operations team; publishes daily/weekly maintenance planned
work lists based on equipment and labor availability
- Develops reference systems (e.g., planned job packages for recurring jobs, organized equipment
documentation library)
- Collaborates with maintenance leaders to create, maintain, and revise preventative maintenance
specifications, corrective procedures, and SOPs
- Reviews PM/CM completion rates against target metrics and trains Maintenance Technicians to
increase efficiency
- Reviews equipment history for maintenance trends; identifies recurring maintenance problems;
recommends improvements and identifies end-of-life equipment
- Assist with Maintenance Specialist and Maintenance Team Leader duties when necessary.
QUALIFICATIONS & KEY REQUIREMENTS
Advanced support individual contributor position performing administrative or specialized tasks in support of
daily business activities.
Receives limited supervision. Work is typically difficult and non-routine, but not complex, and solutioning
requires advanced knowledge gained through extensive work experience. May recommend solutions or
changes to processes and/or procedures.
Trains and may review the work of lower-level Partners.
- 7+ years of experience related to parts and mechanical work preferred
- Experience in negotiating and procurement
- Advanced knowledge of computerized maintenance management systems (CMMS and EAM)
- Comprehensive working knowledge of equipment components, EAM system, parts room organization,
budgets, cost management, and procurement
- Strong internal and vendor relation skills
- Advanced working knowledge of mechanical / electrical parts nomenclature and identification
- Working understanding of maintenance planning activities and strategies and parts lifecycle / longevity
- Advanced organization, time-management and analytical skills
- Computer proficiency in MS Office (Word, Excel, PowerPoint, Outlook, etc)
- Advanced collaboration, written/verbal communication, presentation and interpersonal skills
- Ability to read, write, understand, and communicate clearly in English (required)
- Ability to manage multiple priorities and shift focus between tasks; attention to detail
- Ability to work independently with high quality and productivity
- High school, vocational, or associate's degree
- May need certification to operate MHE
PHYSICAL DEMANDS & WORKING CONDITIONS
- Work in a fast-paced, demanding work environment that requires detailed work and precision under
stress
- Stand for extended periods (up to 12 hours)
- Work while standing, sitting, stooping, walking, bending, with hands over head, and in prone position
- Work from a ladder and other elevated work platforms (manlift, scissor lift)
- Work in small/tight spaces safely
- Travel by car or plane with overnight stays
- Regularly lift up to 50 lbs; occasionally lift 75 lbs
- Work various rotating shifts, including weekends; remain flexible to business needs
- Stay past scheduled shifts to complete daily production in the event of systems failure or production downtime,as required
