We are looking for an experienced Catering Sales Coordinator to support our Catering Sales team.
Position Summary
The successful candidate will be outgoing, hospitality-oriented with strong administrative skills. Many of the activities that will flow through the role will require exceptionally strong attention to details, time management and follow-up skills. The environment is frequently fast-paced and demanding focus. Responsible for providing administrative support for the Catering sales team and helping to ensure the successful planning and execution of all catered events.
Key Responsibilities
Responsibilities include, but are not limited to:
· Create and update weekly event calendar.
· Responsible for generating all banquet event orders (BEO) and distribution to other departments.
· Responsible for all group billing including deposits, and final invoices for event and meeting balance.
· Serve as a liaison with the accounting department concerning event financials.
· Prepare and maintain inventory of weddings & meeting information packets for site tours.
· Maintenance of files for all future, current, and past groups.
· Answer the catering dept phones, forward or send message as appropriate.
· Attend weekly BEO meetings and take minutes to file and record.
· Update and send out daily and weekly banquet events to department heads
· Send weekly requisition for wine for in-house events.
· Update restaurant menus with seasonal offerings and events.
· Assist Banquets department as needed with events.
· Be the contact person for all internal meeting room bookings.
· Assist Director of food and beverage with any additional tasks or projects.
· Maintain client contact in absence of designated Sales Manager/Event Planner.
· Capture pertinent information from potential and existing clients for incoming sales inquiries;
· Check venue availability for events.
· Coordinate site inspections for designated Sales Managers/Event Planners and clients;
· Assist in the set-up and successful execution of in-house tastings for clients.
· Prepare mailings containing sales and marketing information for current and potential clients.
Candidate Qualifications
· A motivated self-starter and skilled at time management and attention to details. Poised, professional, and enjoys collaborating with a team.
· Demonstrated interest in the hospitality industry, specifically in catering, event planning and or sales.
· Demonstrated attention to detail, problem solving, logic, analytical, mathematical and customer service skills, acquired through practice or training.
· Has high-performance expectations and willingly owns results. Demonstrates a commitment to goals, a "can do" attitude and approach to problems,
· Ability to multi-task and handle changing priorities as dictated by changing business environment.
· Excellent computer skills including proficiency in the Microsoft suite of office products, (Outlook, Word, Excel. Intermediate knowledge of Publisher or Canva is highly desired.
· Possess strong computer aptitude in learning new programs. Will train on inhouse Jonas program.
· Strong written and verbal communication skills are required.
· Prior work experience in the hospitality field, specifically in the catering or event planning industry, desired.
· College degree preferred, not required.

This position offers competitive pay commensurate with experience and qualifications. Pay: $29.00 per hour
