HR/Operations Coordinator
Reports To: Executive Director/Operations Director (Onsite) and Human Resources Director (Remote)
Position Summary
The HR/Operations Coordinator is responsible for providing onsite coordination of Human Resources, Operations, Compliance, and Executive Administration. This position serves as the primary liaison between the facility and the organization’s remote Human Resources department and third-party HR vendors to ensure the efficient coordination of onboarding, employee records, credentialing, compliance, and regulatory requirements.
The Coordinator also provides administrative support to the Executive Director by assisting with operational initiatives, project coordination, meeting preparation, and organizational readiness. This position plays a key role in maintaining Joint Commission survey readiness and supporting the daily administrative functions of the organization.
Essential Responsibilities
Human Resources Coordination
(Reports functionally to the HR Director)
- Serve as the onsite liaison between the facility, the Human Resources Director, and third-party HR vendors.
- Coordinate all new hire onboarding activities from offer acceptance through orientation.
- Coordinate pre-employment requirements through third-party vendors, including background checks, drug screenings, employment verification, and required onboarding documentation.
- Assist employees with benefit enrollment by coordinating with the third-party benefits administrator.
- Maintain employee personnel files in accordance with company policy and regulatory requirements.
- Coordinate new hire orientation.
- Prepare employee identification badges and coordinate system access requests.
- Track introductory evaluations, annual evaluations, and other HR deadlines.
- Coordinate employee status changes and required documentation with the HR Director.
- Maintain strict confidentiality of personnel records.
Credentialing & Compliance
(Shared responsibility with Operations and HR)
- Coordinate collection of professional licenses, certifications, CPR cards, DEA registrations, and other required credentials.
- Submit documentation requested for provider credentialing.
- Maintain organization-wide credential tracking.
- Monitor expiration dates for all employee licenses and certifications.
- Notify employees and department managers of upcoming renewal deadlines.
- Maintain documentation required for audits and regulatory agencies.
- Assist with maintaining continuous Joint Commission survey readiness.
- Track completion of required annual training and competencies.
- Assist leadership with accreditation preparation and corrective action follow-up.
Operations Support
(Reports to the Executive Director/Operations Director)
- Provide administrative support to the Executive Director.
- Coordinate meeting schedules, agendas, minutes, and follow-up assignments.
- Maintain operational tracking reports and dashboards.
- Assist with implementation of organizational initiatives.
- Coordinate communication between departments.
- Maintain organizational forms, templates, and administrative documents.
- Support department managers with administrative projects.
- Assist with policy implementation and document management.
- Assist with special projects as assigned.
Executive Administrative Support
- Manage calendars and meeting coordination.
- Prepare correspondence and reports.
- Track leadership action items and project deadlines.
- Organize confidential documents and files.
- Support operational planning and implementation.
Qualifications
Required
- Associate degree or equivalent experience (Bachelor’s preferred).
- Two years of administrative, HR, healthcare, or operations experience.
- Excellent organizational and communication skills.
- Strong attention to detail.
- High level of discretion and confidentiality.
- Proficiency with Microsoft Office (Word, Excel, Outlook, Teams).
Preferred
- Human Resources coordination experience.
- Behavioral healthcare experience.
- Joint Commission accreditation experience.
- Credentialing experience.
- Experience working with third-party HR or PEO vendors.
Performance Expectations

- Effective coordination between onsite leadership, the remote HR Director, and third-party vendors.

- Strong communication and exceptional customer service to employees and department leaders.
This position operates under dual supervision. Daily work assignments, operational priorities, and executive support are directed by the Executive Director/Operations Director, while Human Resources functions, employment practices, and HR compliance activities are directed by the Human Resources Director.
Pay: $20.00 - $24.00 per hour
