We cover six US states from our base in Los Angeles: Southern California, Arizona, Nevada, Utah, New Mexico and Hawaii.
Job Description
The Consulate General of Ireland in Los Angeles is seeking to recruit a Consular and Administration Officer to help provide a range of services to its citizens. These include providing information on travelling to, living and working in Ireland, assistance to Irish citizens in difficulty in any of the 6 states covered by the Consulate, advice on passport or visa applications and much more.
The candidate will be required to have flexibility, drive and interpersonal skills to deliver as part of a small and dynamic team. The position is office-based, full-time with a 12 month, fixed-term contract.
Key Responsibilities
The precise range of duties will vary over time according to the requirements of the Consulate. These include, but are not limited to:
- Responding to public queries received by the Consulate over telephone and email;
- Providing consular assistance to Irish citizens in accordance with the Consular Assistance Charter of the Department of Foreign Affairs and Trade.
- Providing excellent customer service at the Consulate’s public office;
- Assisting the Vice Consul General in the provision of consular services to Irish citizens, including the processing of Emergency Travel Documents;
- Liaison with local law enforcement and partners in emergency management and crisis planning, as required;
- Regular liaison with Irish community organisations across the US Southwest and management of annual grant applications;
- Providing administrative support to the mission; including support to the finance officer and assistance in preparation of accounts;
- Support on event and visit management, including for visits by Irish Government Ministers and senior officials;
- Other duties as required from time to time and directed by the Consul General and Vice Consul General.
Essential qualifications, skills and experience
- Candidates must have minimum 12 months’ previous professional experience in a relevant role;
- Excellent interpersonal skills and ability to work in a team;
- Experience dealing effectively with members of the public and people in external organizations, including on sensitive and complex issues;
- The candidate must provide evidence of flexibility, efficiency and effectiveness showing strong organizational skills, attention to detail, ability to work under pressure and ability to manage multiple tasks;
- Strong written and verbal communications skills, as well as fluency in the English language, both written and verbal;
- The candidate should provide examples of being solutions-oriented, able to take initiative and their commitment to delivering results, including by adapting approach if necessary;
- Flexibility with regards to occasional working out of hours is essential;
- Professional experience with Microsoft Office Suite (Outlook, Word, Excel);

Desirable qualifications, skills and experience
- A university degree or equivalent qualification;
- Previous consular work experience in a diplomatic mission;
- Knowledge of and interest in Ireland;
- Strong intercultural communication skills;
- Previous experience and understanding of office administration tasks;
- A proven ability to manage information effectively will also be considered an advantage, with the ability to quickly distil and synthesise complex information in writing and orally.
Terms and Conditions of Employment
- Salaries are paid direct to a bank account: therefore, the successful candidate must have a bank account;
- The successful candidate will be hired on a fixed-term contract for 12 months, subject to a probationary period of 3 months. This contract may be renewed subject to satisfactory performance.
- The candidate will be based at the Consulate premises at 6300 Wilshire Blvd, Los Angeles, CA 90048.
- The successful candidate will work alongside other locally-engaged staff of the Consulate, and will report directly to the Vice Consul General.
- Contracts are governed by US labour laws in accordance with US, State and Local Employment Law.
- Please note that, where applicable, the Mission does not withhold taxes at source, therefore the successful candidate is responsible for all taxes including social security contributions.
- On request, successful candidates must be in a position to provide evidence of their compliance with applicable tax and social insurance obligations.
- The successful candidates will be responsible for making their own arrangements regarding local transport and accommodation
- Hours of attendance will amount to on average not less than 40 hours per week. Where extra attendance is necessary, time off in lieu will be allowed.
- The annual leave allowance is 20 days per annum, adjusted where necessary pro rata. This allowance is in addition to public holidays.

Selection Process

Security Clearance for Local Staff
Police security clearance will be sought in respect of individuals who come under consideration for appointment.
