The Opportunity
MAK Steel Services is seeking an organized, deadline-driven Bid Coordinator to support our estimating and sales teams. This position is responsible for keeping the bidding process moving—from downloading plans and specifications through assembling submissions and following up on outstanding proposals.
The ideal candidate has at least two years of construction office experience, understands common bid documents and construction terminology, and is comfortable learning and using new technology. This is a hands-on coordination role for someone who takes ownership, communicates confidently, and pays close attention to details.
You will report to the VP of Sales and work closely with the estimating team each day.
What You’ll Do
- Monitor bid platforms and shared inboxes for new invitations to bid.
- Log opportunities, download plans and specifications, and route documents to the appropriate estimator.
- Maintain the bid calendar, including due dates, addenda, pre-bid meetings, submission requirements, and delivery methods.
- Contact subcontractors and suppliers by phone and email to obtain pricing before estimating deadlines.
- Assemble and submit complete bid packages, including required forms, bonds, insurance certificates, qualification statements, and signatures.
- Review every submission for accuracy and completeness.
- Follow up on submitted proposals, request bid tabulations, and track wins, losses, and pricing feedback.
- Keep CRM records current, including contacts, opportunities, stages, and next steps.
- Schedule pre-bid and post-bid meetings, prepare agendas, and distribute notes.
- Prepare award, decline, and thank-you correspondence for vendors and customers.
What You’ll Need
- At least two years of office experience in construction, skilled trades, or manufacturing. Experience in estimating support, project coordination, service dispatch, purchasing, or a similar role is welcome.
- Familiarity with construction bid documents, plans, specifications, and industry terminology.
- Strong organizational skills and the ability to manage multiple fixed deadlines.
- Confidence communicating by phone and following up consistently with subcontractors, suppliers, and customers.
- Proficiency with Microsoft Excel and Outlook, including the ability to independently build and maintain tracking tools.
- Strong attention to detail, particularly when reviewing forms and submission requirements.
- The ability to learn new software and processes quickly.
- A high school diploma or equivalent.
Preferred Qualifications
- Experience with BuildingConnected, iSqFt, PlanHub, Bid Express, Procore, or a similar construction platform.
- Experience reading construction plans and specifications.
- CRM experience.
- Comfort using AI-powered tools to improve research, organization, communication, or administrative workflows.
- An active notary commission or willingness to obtain one.

Pay: $50,000.00 - $58,000.00 per year
