Home Reimagined General Contractors is a veteran-owned (SDVOSB) general contractor based in San Antonio, specializing in residential remodeling, light commercial renovation, and commercial painting.
The Role
We are looking for an organized, personable Office Administrator to be the friendly first point of contact for our customers and the reliable backbone of our office. You will own the customer experience from first call through scheduling, while keeping our certifications and project paperwork current and organized. This is a high-trust role for someone who can move quickly between talking with a customer and handling the details behind the scenes, without letting either slip.
This position is contract to hire. It is a W-2 payroll role from day one, and we use the first six months as a genuine ramp and mutual fit period, with the clear intent to convert the right person into a permanent full-time team member.
What You'll Own
Customer coordination and conversion:
- Respond to new customer inquiries quickly and follow up so no lead goes cold
- Communicate with customers by phone, text, and email in a warm, professional voice
- Schedule estimates and jobs and coordinate timing with our field team
- Keep our pipeline organized and up to date in JobTread so nothing falls through the cracks
Estimate support:
- Gather the information needed for estimates from customer calls and intake forms
- Set up the framework of estimates in JobTread (structure and inputs) for the owner to price and finalize
Compliance and document control:
- Track and renew company certifications (SDVOSB, Texas HUB/VetHUB, CMBL, EPA Lead-Safe) so nothing lapses
- Request, track, and file Certificates of Insurance (COIs), W-9s, and vendor paperwork
- Maintain lien waivers, sworn statements, contracts, and job closeout packages
- Assemble prequalification and bid documents for prime contractors and government clients
- Keep a clean, organized digital filing system
General office support:
- Handle correspondence, data entry, and day-to-day administrative tasks
- Track renewal dates, submission deadlines, and document expirations
What We're Looking For
- 2+ years in an administrative, office coordinator, customer service, or client-facing role (construction, home services, or professional services is a strong plus)
- Warm, confident communicator who enjoys talking with customers and following up
- Highly organized and detail-oriented; you close loops without being reminded
- Able to switch between people-facing work and focused paperwork without dropping either
- Comfortable with software and quick to learn new systems (Google Workspace, Microsoft Office; JobTread, Procore, or Buildertrend experience a plus)
- Trustworthy and discreet with sensitive company and customer information
- High school diploma or equivalent required
Nice to Have
- Experience in construction, remodeling, or home services
- Familiarity with estimates, COIs, lien waivers, or government/HUB vendor registration
- Bilingual (English/Spanish)
- Associate degree
Pay: $24.00 - $27.00 per hour
