Monitors the KIPS computer system to keep track of worker assignments; assigns intakes to Child Protection Specialists; sends referrals for Foster Care, Family Preservation and Family Services; assembles files for Child Protection Services (CPS) staff; responsible for answering phone calls; responsible for organization of the CPS file room.

Qualifications
Minimum Qualifications: *If a driver’s license is required, a copy must be sent to your recruiter following the interview.* High School diploma or equivalent. Driver’s License is required and must be maintained throughout employment.
Preferred Qualifications: One year of independent clerical work experience to include utilizing computers and modern office equipment.

Security Clearance: A background check (KBI - criminal background, welfare fraud, driver's license and Child/Adult Abuse and Neglect Central Registry) is required for all positions with the Department for Children and Families (DCF) as a condition of employment, which may include fingerprinting and FBI check. Security clearance must be obtained prior to employment with DCF. Must maintain security clearance throughout employment.
Kansas Tax Clearance Certificate: A valid Kansas Tax Clearance Certificate is a condition of employment for all employees of the State of Kansas. Applicants (including non-residents) who receive a formal job offer for a State job, are required to obtain a valid Tax Clearance within ten (10) days of the job offer. A Tax Clearance can be obtained through the Kansas Department of Revenue who reviews individual accounts for compliance with Kansas Tax Law.

The incumbent is expected to demonstrate a commitment to customer service and will participate fully in team activities in support of the Agency mission. The position also requires a commitment to work effectively with all other Prevention and Protection Services (PPS) Units and DCF Divisions in providing a harmonious work environment that is conducive to improving agency outcomes, office operations and a productive working relationship in the community. This position may be required to provide coverage in other service centers within the assigned region.
Administrative Support

Employee shall lend administrative support by assisting the Child protection specialist (CPS) and Supervisor with completion of forms and maintenance of case files in KIDS.

Employee shall begin the paperwork for referrals to family first, family preservation, and foster care- completing data entry in Carematch, creating the medical card, releases of information and then submitting the referral to the appropriate agencies within a time frame given by their supervisor. Employee will ensure all demographic information is completed and all required attachments are included, and forms are correct.

Employee will assist Assessment and Prevention CPS units with completing case specific forms, case plan checklists, files case related materials and assists in maintaining case files. This includes receipt of documents and maintenance of files for closed cases and the review of files and purging of documents in preparation for shipment to archives for storage.

Labels and organizes unit files.

Collects and distributes all unit mail, faxes and other correspondence, including PPS 2012’s and attempt to locate letters.

Answers the phone as needed and helps direct customers to the correct person ad makes reports if needed.

Screens callers and visitors while providing information or direction for customers as needed.

Creates letter templates, database tables and spreadsheets.
-
Scans paper documents in pdf format and uploads into the Kansas Initiatives for Decision Support system (KIDS).
Clerical Support

Tracks data for unit and the division utilizing spreadsheets and data systems.

Monitors and serves as a scheduler for intakes to assure timely assignment from the Kansas Intake/Investigation Protection system (KIPS) and add cases into KIDS timely.

Utilizes computer systems and multiple databases to research, investigate and document information on new intakes as a supplement to the CPS’ intake information missing on the PPS 1000. Complete required background checks as requested on all adults in the home of assigned intakes.

Assists CPS in gathering case information, researching community resources available to assist families, creating resource packets per case specific needs.

Coordinate case transfer between appropriate DCF offices, in consultation with CPS supervisor.

Prepares new files by ensuring all required documents are included; 1000, 1001,1002 along with adding needed forms such as but not limited to: 2019’s, Plan of Safe Care, Safe Sleep, Release form PPS 0100, ISP forms, Request to Interview Children at School PPS 2000, PPS 1010, PPS 2010, Safety Plan and identified documents needed to support the case. Will create a grab and go packet for specific cases to be available for staff when they get a case assigned.

Organizes copies and gathers information for meetings, case reviews and audits as requested by the Assessment and Prevention Services Administrator.

Gathers information in response to court orders, other case records requests, processes journal entries received from the court and contacts community providers to obtain information as requested by the CPS and CPS Supervisors.

Participates in and takes minutes for unit meetings.
Other Duties

Aids clients who want to make a report of abuse/neglect by providing the phone number & location necessary to make a report directly to Kansas Protection Report Center (KPRC)

Provides back-up support for CPS Supervisor as assigned on specific cases.

Attend all training, unit meetings, individual conferences and workgroups as required and assigned.

Provide support in absence of other team members within the role.

Will ensure all PPS forms are ordered and maintained.

Will make requests for office supplies to the appropriate person.

Complete all other duties as assigned.
