Responsibilities
- Greet visitors, clients, and vendors with professionalism and warmth, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls accurately and courteously while providing exceptional customer service
- Perform data entry tasks with accuracy using productivity software such as Microsoft Office Suite and our Proprietary Software
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents and records
- Support office management activities including calendar management, appointment scheduling, and basic bookkeeping using QuickBooks
- Assist with clerical tasks such as proofreading documents, preparing reports, and managing office supplies to ensure a well-stocked workspace
Qualifications
- Proven experience in office administration or clerical roles
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), QuickBooks, and data entry skills
- Excellent phone etiquette and professional communication skills
- Demonstrated organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
- Technical proficiency in office management tools such as multi-line phone systems, calendar management software, and basic bookkeeping programs like QuickBooks
- Experience in customer service or front desk roles is highly desirable
- Ability to handle sensitive information discreetly while maintaining professionalism at all times
