We are seeking a Clinic Manager & Patient Success Director who can lead operations, drive patient conversions, oversee team performance, manage CRM systems, and help scale the business.
This is not an administrative position.
This is a leadership role for someone who thrives on ownership, accountability, sales, systems, team development, and creating an exceptional patient experience.
Position Summary
The Clinic Manager & Patient Success Director is responsible for the overall success of the clinic's daily operations and growth.
You will oversee scheduling, Phone Systems Handling , patient experience, staff management, CRM systems, sales performance, retention, and revenue-driving activities.

Key ResponsibilitiesOperations & Leadership
- Oversee daily clinic operations and workflows
- Manage front desk staff and administrative team members
- Lead team meetings and staff accountability
- Create, document, and improve operational systems and procedures
- Ensure smooth clinic flow and provider support
- Manage clinic transitions, logistics, and growth initiatives
- Solve operational problems before they impact revenue or patient experience
- Maintain accountability around clinic goals and performance metrics
Patient Experience & Retention
- Ensure every patient receives a premium experience
- Manage patient communication and follow-up systems
- Address patient concerns professionally and efficiently
- Improve patient retention and completion of care plans
- Implement systems that strengthen patient engagement and continuity of care
- Monitor patient satisfaction and service quality
CRM Management & Systems
- Own and manage the clinic CRM platform
- Maintain and optimize lead management systems
- Track all incoming leads and patient inquiries
- Build and manage automated workflows, nurture campaigns, reminders, and follow-up sequences
- Monitor lead pipelines and ensure timely follow-up
- Develop patient reactivation campaigns
- Maintain accurate reporting dashboards and business metrics
- Ensure no qualified lead is lost due to lack of follow-up
Sales & Patient Conversion
- Conduct consultation calls with prospective patients
- Convert inquiries into scheduled evaluations
- Educate prospective patients on services, treatment plans, and value of care
- Handle pricing conversations confidently and professionally
- Overcome objections while maintaining a patient-centered approach
- Follow up with prospective patients who have not scheduled
- Improve lead-to-evaluation conversion rates
- Improve evaluation-to-plan-of-care conversion rates
- Support conversion of higher-value wellness and treatment programs
- Train staff on patient communication, sales processes, and scheduling best practices
- Ensure a consistent and effective patient sales journey
Marketing & Referral Growth
- Track referral sources and referral relationships
- Support community outreach initiatives
- Coordinate workshops, events, and wellness programs
- Assist with local marketing efforts and strategic partnerships
- Monitor marketing performance and lead generation metrics
- Support business growth initiatives that increase patient volume
Administrative & Financial Oversight
- Oversee scheduling systems and patient databases
- Manage billing coordination and patient account communication
- Ensure HIPAA compliance and operational standards
- Maintain accurate patient records and reporting systems
- Monitor provider schedules and clinic utilization
- Support financial tracking and operational reporting
Performance Expectations
Success in this role will be measured by:
- New patient evaluations scheduled
- Lead-to-evaluation conversion rate
- Evaluation-to-plan-of-care conversion rate
- Patient retention and completion of care plans

QualificationsRequired
- 2+ years of healthcare, wellness, fitness, concierge medicine, coaching, med spa, or clinic management experience
- Proven leadership and team management experience
- Strong organizational and operational skills
- Excellent communication and interpersonal skills
- Ability to multitask and prioritize effectively
- Strong attention to detail and accountability
- Comfortable discussing pricing, treatment plans, and patient investments
- Results-oriented mindset with strong follow-through
Strongly Preferred
- Experience managing CRM platforms, especially GoHighLevel
- Experience building and optimizing sales pipelines
- Experience creating automations, workflows, campaigns, and reporting dashboards
- Experience with high-ticket sales ($1,000+ programs or services)
- Proven success in consultative sales and conversion-focused roles
- Experience handling objections and closing sales professionally
- Experience improving conversion rates and retention metrics
- Experience in a cash-based healthcare, wellness, fitness, coaching, physical therapy, chiropractic, concierge medicine, or med spa practice
- Understanding of patient care plans and treatment adherence
