Event Manager I - Role Job Description:
The Event Manager I is the senior event manager, strategic leader, and creative visionary, responsible for the planning, coordination, and flawless execution of a wide range of events. Reporting to the Director of Events, this role manages all phases of the event lifecycle — from concept development to post-event evaluation — while ensuring outstanding experiences for clients, attendees, and stakeholders. As the senior member of the events team, the Event Manager I leads events for partner organizations and provides day-to-day guidance, training, and quality review for entry-level Event Managers (Event Manager II), with responsibilities including budget development, vendor management, stakeholder communication, and event execution aligned with performance standards.
Key Responsibilities
Event Planning & Execution
- Develop and manage detailed event plans, including budgets, timelines, and resource allocation.
- Lead the creative vision and design of events, ensuring alignment with client and organizational goals.
- Oversee all logistical elements such as venue selection, catering, A/V, transportation, and décor.
- Provide on-site leadership during event setup, execution, and breakdown.
- Mentor and support entry-level Event Managers (Event Manager II), reviewing their work and helping develop their skills across the event lifecycle.
- Coordinate with internal teams and external vendors on all deliverables, including:
- Meeting planning (internal and external)
- Run-of-show documents, agendas, and timelines
- Sponsorship and exhibitor packages
- Marketing materials and graphic assets
- Speaker logistics and briefing documents
- Email campaigns, FAQs, and attendee communication
- Program content and registration website management
- Conduct site visits and risk assessments, resolving potential issues proactively.
Client & Stakeholder Relations
- Foster strong relationships with clients by understanding their vision and consistently delivering high-quality events.
- Maintain ongoing communication with clients, providing timely updates and resolving issues.
- Collaborate with sponsors, exhibitors, and other key stakeholders to maximize event value and engagement.
Financial Oversight
- Create, manage, and reconcile event budgets, ensuring cost efficiency and accountability.
- Negotiate vendor contracts and identify cost-saving opportunities.
- Provide financial tracking, reporting, and forecasting throughout the event lifecycle.
Post-Event Analysis
- Lead post-event evaluations, including collecting client and attendee feedback.
- Analyze key performance indicators (KPIs) to measure event success.
- Document lessons learned and implement improvements for future events.
Qualifications
- Bachelor's degree in event management, hospitality, marketing, or a related field; advanced certifications preferred.
- 6–8 years of progressive event management experience, including planning and executing a variety of successful events and experience leading or mentoring others.
- Strong project management, multitasking, and organizational skills.
- Excellent communication, negotiation, and interpersonal abilities.
- Proficient in event management tools and software platforms.
- Financial acumen and experience managing complex budgets.
- Creative thinker with a proactive, solution-oriented mindset.
- Demonstrated leadership and team coordination experience.
Additional Requirements
- Remote position; must be willing and available to travel for in-person events.
- Standard hours are Monday–Friday, 9:00 a.m.– 5:00 p.m. CT, with flexibility required based on event needs.
Job Type: Full-time
Pay: $60,000.00 - $70,000.00 per year
