The Engineering Administrative Coordinator provides administrative and coordination support to Manufacturing Engineering and Operations. This role helps ensure the efficient flow of departmental processes by supporting facility access needs, internal communications, vehicle tracking, documentation routing, and other administrative activities. The position serves as a reliable point of contact for routine coordination tasks and helps maintain accuracy, consistency, and timely follow-through across assigned responsibilities. Uses independent judgment and exercises discretion in executing their duties. This position requires a high degree of confidentiality.
Essential Functions:
1. Coordinate company vehicle check-in/check-out processes, including tracking usage, maintaining related records, and ensuring vehicles are properly assigned and returned.
2. Serve as back-up support for door access administration, including assisting with access needs, coordinating updates, and supporting secure facility access procedures.
3. Coordinate Capital Expenditure signature routing to ensure required approvals are obtained accurately and in a timely manner.
4. Manage monthly Employee Spotlight coordination, including gathering information, communicating with stakeholders, and helping prepare content for publication or distribution.
5. Track and maintain T-number information, ensuring records are accurate, current, and available to appropriate internal users.
6. Coordinate the Tool Room dispatch list, including maintaining updates, communicating changes, and supporting timely distribution of information.
7. Provide general administrative coordination, follow-up, reporting, and communication support for assigned operational activities.
8. Assisting in travel arrangements as needed.
9. Maintain organized records and documentation related to assigned responsibilities.
10. Communicate professionally with employees, supervisors, managers, and cross-functional departments to support completion of assigned tasks.
11. Will perform other duties as assigned.
Required Education and Experience/Skills:
1. High school diploma or equivalent required; associate degree or administrative certification preferred.
2. Prior administrative, clerical, HR, operations, or office coordination experience preferred.
3. Strong organizational skills with the ability to manage multiple tasks and follow through on deadlines.
4. Strong attention to detail and accuracy in tracking, routing, and maintaining information.
5. Professional communication skills and the ability to work effectively with employees at all levels of the organization.
6. Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
7. Knowledge of Oracle ERP systems is preferred.
8. Ability to handle confidential or sensitive information with discretion.
Pay: $19.00 - $22.00 per hour
