We are seeking a highly organized, detail-oriented Project Coordinator to become a central part of our operations team across both companies. This is not a traditional administrative position. It is a coordination and accountability role designed to improve project flow, client communication, scheduling, documentation, billing support, and operational efficiency.
The ideal candidate thrives in a fast-paced environment, enjoys managing multiple moving pieces simultaneously, and takes pride in keeping projects organized from initial inquiry through final completion. This person will help support larger construction projects through Stratum while also helping manage the faster-moving lead flow, estimating support, customer communication, and production coordination needs of Dad Exteriors.
Position Overview
The Project Coordinator drives operational continuity across the project lifecycle by managing communication, documentation, procurement coordination, selections, and scheduling support while maintaining alignment between clients, vendors, sales, and internal teams.
While Project Managers maintain responsibility for field execution and project outcomes, the Project Coordinator ensures that the administrative and communication side of each project remains organized, accurate, and moving forward.
What You'll Do
Lead Intake & CRM Management
- Manage incoming leads from initial inquiry through sales handoff
- Maintain accurate project and client records in BuilderTrend and CRM systems
- Send introductory communications and collect project information, photos, and documentation
- Ensure sales personnel receive organized and complete lead information
- Maintain clean, accurate, and up-to-date project records
- Ensure same-day responses to incoming inquiries whenever possible
Sales Support & Contract Administration
- Coordinate project handoffs from sales to production
Selections Coordination
- Track client selections, finishes, fixtures, and specifications
- Communicate deadlines and requirements to clients
- Follow up proactively to keep projects moving
- Ensure finalized selections are properly documented and distributed
Procurement & Vendor Coordination
- Prepare and track purchase orders
- Support material and product ordering activities
- Monitor order status and delivery schedules
- Coordinate with vendors and suppliers regarding lead times and deliveries
- Verify materials align with project requirements
Scheduling Support
- Assist with project readiness and scheduling coordination
- Identify potential conflicts before they impact project timelines
- Communicate scheduling updates to internal teams and clients
Client Communication
- Serve as a consistent point of contact throughout the project lifecycle
- Manage follow-ups related to selections, documentation, specifications, and approvals
- Provide clients with updates regarding milestones, timelines, and next steps
- Deliver a professional, responsive client experience
Process Development & Documentation
- Create and maintain standardized company processes
- Improve documentation systems and workflows
- Support continuous operational improvement across the organization
What We're Looking For
Required Qualifications
- Minimum 2 years of project coordination, project management, operations coordination, or similar experience
- Experience managing multiple projects, priorities, and deadlines simultaneously
- Strong organizational skills and exceptional attention to detail
- Excellent written and verbal communication abilities
- Ability to work independently and take ownership of processes
- Strong follow-through and accountability
- Comfort learning new technology and software platforms
Preferred Qualifications
- Construction, remodeling, architecture, design, or home services experience
- Experience with BuilderTrend or similar project management software
- CRM experience
- Vendor coordination and procurement experience
