Our beloved Office Assistant recently resigned and we are now looking for a motivated, dependable, and professional individual who is eager to grow with us and become part of our team.

Position:
Secretary/ Administrative Assistant
As the first face and voice of Planitax, this role is essential in creating a welcoming, professional, and organized experience for our clients.
Key Responsibilities:
- Answer and manage a high volume of phone calls professionally
- Send, receive, and respond to emails in a timely manner
- Schedule and assist clients with appointments
- Make monthly follow-up calls regarding payments
- Assist with bookkeeping tasks using accounting software to track expenses and invoices
- Support administrative and tax-related office tasks
- Manage tax-related deadlines
- Maintain accurate and organized client records
- Assist with daily office operations as needed
What We Are Looking For:
- Bilingual (English & Spanish)
- Strong willingness to learn tax-related duties
- Initiative-driven (able to work independently and complete tasks without constant direction)
- Team player with a positive and respectful attitude
- Excellent communication and customer service skills
- Comfortable being the primary point of contact for clients
- Ability to multitask in a fast-paced office environment
- Professional, organized, and reliable
- Experience with anual, monthly and quarterly tax returns a PLUS or willing to learn
Education, Skills, and Experience
- Minimum High School Diploma
- Degree in Office Systems / Office Administration (Preferred)
- 1-3 years experience in realated roll. (Required)
- Proven office experience with strong clerical skills and familiarity with office management procedures
- Ability to manage time efficiently while juggling multiple responsibilities
- Proficiency in computer literacy including Microsoft Office (Word, Excel) (Required)
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Experience handling multi-line phone systems and demonstrating professional phone etiquette
- Exceptional customer service skills with a friendly demeanor and positive attitude
- Experience in customer service or accounting/tax office environment is a PLUS
- Bilingual English-Spanish (Preferred)
