Cambridge Office Lead / Senior Medical Front Desk
Location: Cambridge, MA (new office opening Fall 2026), looking for someone to start ASAP and be able to cross-train at Beverly, MA location
Schedule: Full-Time, Monday–Friday
Compensation: $22–28/hour, depending on experience

A growing, physician-owned specialty medical practice is expanding and opening a new Cambridge location in Fall 2026. We are seeking an experienced Senior Medical Front Desk professional to serve as the Office Lead for this new site.
This is an excellent opportunity for someone who enjoys taking ownership, working independently, and playing a key role in establishing the operations and patient experience of a new office. The ideal candidate will be a seasoned medical front desk professional who is often the go-to person within their current practice and is ready to take on additional responsibility.
Prior to the Cambridge office opening, the selected candidate will complete training at the practice's existing locations to gain a thorough understanding of systems, workflows, and operational expectations.
Serve as the primary point of contact for patients, including check-in, check-out, scheduling, and general patient communication
Manage appointment scheduling and provider calendars with a high degree of accuracy
Verify insurance eligibility and support authorization workflows for procedures, imaging, and referrals
Answer incoming calls, respond to messages, and manage electronic patient communications
Collect copays, balances, and update patient demographic information
Maintain a professional, welcoming, and organized front office environment
Collaborate with management and staff across multiple locations to ensure consistency and continuity of operations
Serve as the primary on-site operational contact for the Cambridge office
Coordinate facility, maintenance, and equipment-related issues as needed
Monitor office supply inventory and assist with ordering and replenishment
Support onboarding and orientation of new staff members
Help implement and maintain front desk policies, procedures, and best practices
Assist with daily office workflow coordination and communication
Act as a liaison between the Cambridge location and the broader practice team
Assist with site-specific administrative projects and operational tasks
Communicate provider schedule updates and workflow changes to appropriate team members
Support coordination of office meetings, vendor visits, and other logistical needs
Maintain accurate records and documentation in accordance with practice standards
3+ years of medical front desk experience in a healthcare setting
Experience with patient scheduling, insurance verification, and authorization processes
Experience using EPIC or a comparable electronic health record system
Ability to work independently and take initiative with minimal supervision
Strong attention to detail and organizational skills
Excellent communication and interpersonal abilities
Experience working in a fast-paced, high-volume medical environment
Reliable, professional, and dependable
Prior experience serving as a lead, senior, or go-to front desk team member
Experience in a specialty practice environment
Knowledge of prior authorization processes for procedures and diagnostic imaging
Experience working within a multi-site healthcare organization
Familiarity with basic office operations, onboarding, and facilities coordination
Bilingual abilities are a plus
The selected candidate will participate in a structured onboarding program at the practice's established locations before the Cambridge office opens. This training will provide exposure to scheduling workflows, authorization processes, patient communication standards, office operations, and collaboration with providers and clinical staff.
