Job Summary
The Patient Services Representative (PSR) serves as the first point of contact for patients and visitors, providing a welcoming, professional, and efficient front office experience. This role is essential to the smooth operation of our clinics and plays a key part in ensuring every patient receives exceptional service from the moment they arrive.
Duties
- Greet and check in patients in a timely, courteous, and professional manner
- Schedule, confirm, and coordinate patient appointments across providers and specialties
- Verify insurance eligibility and benefits prior to and at the time of service
- Collect co-pays, deductibles, and patient balances; process payments accurately
- Review and update patient demographic and insurance information in the EHR system
- Scan and index incoming documents and maintain accurate medical records
- Resolve patient questions regarding appointments, insurance, and billing or direct them to the appropriate department.
- Collaborate with clinical staff to support efficient patient flow
- Adhere to HIPAA guidelines and Graybill policies regarding patient privacy and confidentiality
- Support a positive, team-oriented front office environment
- Communicate wait times, scheduling changes, or delays to patients with transparency
- Process patient registration forms and required documentation
- Obtain referrals and prior authorizations as needed
- Answer and route incoming telephone calls
Qualifications:
- High school diploma or equivalent required; some college preferred
- 1+ years of experience in a medical front office, receptionist, or customer service role preferred
- Familiarity with EHR systems (NextGen experience a plus)
- Experience verifying insurance eligibility, obtaining referrals or prior authorizations, and collecting patient financial responsibility preferred
- Strong communication skills — warm, clear, and professional with patients and staff
- Ability to multitask in a fast-paced clinical environment
- Bilingual (English/Spanish) a plus
Physical Requirements
- Ability to sit and stand for extended periods.
- Frequent use of computers and standard office equipment.
- Occasionally lift or move up to 20 pounds.
