We are seeking a detail-oriented and dependable Payroll Specialist to join our team. The Payroll Specialist will be responsible for accurately processing payroll, maintaining employee payroll records, responding to payroll-related questions, and ensuring compliance with applicable federal, state, and local regulations.
The ideal candidate has strong attention to detail, excellent organizational skills, and previous experience processing payroll in a fast-paced environment.
Key Responsibilities
Process biweekly/semi-monthly payroll accurately and on time.
Review employee timekeeping, hours, overtime, bonuses, commissions, deductions, and other payroll adjustments.
Maintain accurate and confidential employee payroll records.
Verify payroll calculations and resolve discrepancies.
Process new hires, terminations, employee changes, direct deposits, tax forms, and other payroll updates.
Respond to employee questions regarding paychecks, deductions, taxes, benefits, and payroll policies.
Reconcile payroll reports and assist with payroll-related accounting activities.
Prepare and maintain payroll reports and documentation.
Ensure payroll practices comply with federal, state, and local laws and regulations.
Assist with year-end payroll activities, including W-2 preparation and reconciliation.
Work closely with Human Resources, Accounting, and management to resolve payroll issues.
Maintain strict confidentiality of employee compensation and personal information.
Perform other payroll and administrative duties as needed.
Qualifications
2+ years of payroll processing experience preferred.
Strong knowledge of payroll procedures and payroll tax requirements.
Experience with payroll software and/or HRIS systems.
Strong attention to detail and accuracy.
Excellent organizational and time-management skills.
Ability to handle confidential information professionally.
Strong written and verbal communication skills.
Proficiency with Microsoft Excel and Microsoft Office.
Ability to meet deadlines and manage multiple priorities.
Payroll certification such as CPP or FPC is a plus but not required.
Preferred Experience
Experience processing payroll for [number]+ employees.
Experience with [ADP / Paychex / QuickBooks / UKG / Gusto / other system].
Knowledge of California payroll requirements, if applicable.
Experience with payroll reconciliations and year-end reporting.
