Receptionist – Behavioral Health Outpatient Office
First Things First is seeking a dependable, professional, and organized Receptionist to support the daily operations of our outpatient behavioral health office. This position is often the first point of contact for clients and plays an important role in creating a welcoming, respectful, and confidential environment.
The ideal candidate is reliable, comfortable working with individuals from diverse backgrounds, able to maintain professional boundaries, and capable of managing multiple administrative responsibilities in a busy office setting.
Responsibilities
- Greet clients and visitors in a professional and welcoming manner.
- Answer incoming phone calls, take messages, and direct calls appropriately.
- Schedule and manage client appointments.
- Complete reminder and confirmation calls for upcoming appointments.
- Assist new clients with scheduling and required administrative paperwork.
- Verify that client paperwork is complete and routed to the appropriate staff member.
- Collect payments and provide receipts as directed.
- Maintain accurate client demographic and contact information.
- Scan, upload, fax, and organize documents.
- Process incoming and outgoing records and correspondence according to agency procedures.
- Obtain and verify appropriate Releases of Information (ROIs) before releasing confidential information.
- Maintain client confidentiality and follow HIPAA, 42 CFR Part 2, and agency privacy requirements.
- Communicate professionally with clients, counselors, outside agencies, courts, insurance representatives, and other community partners.
- Maintain an organized reception and waiting area.
- Assist with basic office supply inventory and administrative tasks.
- Follow established procedures regarding client concerns and appropriately refer clinical, billing, treatment, or financial questions to qualified staff.
- Maintain appropriate professional boundaries and remain within the scope of the receptionist position.
- Assist administrative and clinical staff with additional clerical duties as assigned.
Qualifications
- High school diploma or equivalent required.
- Previous receptionist, administrative, medical office, or behavioral health experience preferred.
- Strong communication and customer-service skills.
- Dependable attendance and punctuality.
- Strong attention to detail and organizational skills.
- Ability to multitask and prioritize responsibilities.
- Comfortable using computers, email, electronic records, scheduling systems, printers, scanners, and fax systems.
- Ability to learn and consistently follow confidentiality and documentation requirements.
- Ability to remain calm and professional when interacting with clients who may be frustrated, upset, or experiencing difficult circumstances.
- Must demonstrate good judgment and understand when questions or concerns need to be referred to clinical, billing, or administrative staff.
What We're Looking For We are looking for someone who is reliable, compassionate, professional, and willing to learn. Because our receptionist interacts directly with clients and handles confidential information, attention to detail, appropriate boundaries, and discretion are essential. Experience in behavioral health or substance use disorder treatment is helpful but not required for the right candidate.
Pay: $19.00 - $20.00 per hour
