We are seeking a compassionate and organized Patient Service Specialist (PSS) to join a busy Breast Center. As one of the first points of contact for patients, this role plays an important part in creating a welcoming, supportive experience while coordinating appointments, maintaining patient information, and assisting with insurance, referrals, and medical records.
The ideal candidate is professional, detail-oriented, and comfortable managing multiple priorities in a fast-paced healthcare environment. Experience within a breast center, oncology, surgical, imaging, or other specialty medical practice is preferred.
Key Responsibilities
- Greet and assist patients with professionalism, compassion, and discretion.
- Answer incoming calls and respond to questions regarding appointments, services, and office procedures.
- Schedule, reschedule, and confirm patient appointments, including imaging, procedures, consultations, and follow-up care.
- Verify patient demographics, insurance information, referrals, authorizations, and required documentation.
- Maintain accurate and up-to-date patient information within the electronic medical record (EMR).
- Obtain medical records, imaging, pathology reports, and other outside documentation needed for patient care.
- Coordinate with referring physician offices, imaging centers, hospitals, and other healthcare facilities.
- Assist patients with questions regarding referrals, insurance requirements, appointment preparation, and next steps.
- Collect applicable copays, deductibles, and patient balances.
- Ensure required forms and documentation are completed accurately and on time.
- Communicate effectively with physicians, nurses, medical assistants, schedulers, and administrative staff.
- Handle sensitive patient situations with empathy, professionalism, and confidentiality.
- Follow established Breast Center workflows and procedures to support an efficient patient experience.
- Maintain HIPAA compliance and protect confidential patient information.
- Provide additional administrative and front-office support as needed.
Qualifications
- High school diploma or equivalent required.
- Previous healthcare, medical office, scheduling, or related customer service experience required.
- Experience in a breast center, oncology, surgery, imaging, or specialty medical practice preferred.
- Familiarity with electronic medical record (EMR) systems preferred.
- Knowledge of medical terminology preferred.
- Experience with insurance verification, referrals, or prior authorizations is a plus.
- Strong computer and data-entry skills.
- Excellent verbal and written communication skills.
