Responsibilities:
- Perform general secretarial duties such as answering phone calls, taking messages, and responding to emails
- Maintain and organize files, records, and documents
- Assist with bookkeeping tasks including data entry, invoicing, and reconciling accounts
- Utilize QuickBooks software to manage financial transactions
- Provide office management support by ordering supplies and maintaining inventory
- Act as a personal assistant to the manager by scheduling appointments and managing calendars
- Greet and assist visitors in a professional and friendly manner
- Handle confidential information with discretion and maintain confidentiality at all times
- Assist with event planning and coordination
Requirements:
- Proficient in using file management systems and organizing documents
- Strong office management skills with the ability to multitask and prioritize tasks effectively
- Excellent phone etiquette and communication skills
- Bookkeeping and accounting data processing skills
- Attention to detail and accuracy in data entry and record keeping
