TITLE: Bookkeeper
DEPARTMENT: Finance & Human Resources
REPORTS TO: Chief Administrative Officer
PRIMARY FUNCTION: Accounting and Bookkeeping
The Bookkeeper provides essential financial and administrative support to the Finance department, working in close partnership with an outsourced accounting firm. This role supports transaction processing, payroll, accounts payable, and financial reporting to ensure accurate records, timely compliance, and efficient day-to-day accounting operations.
KEY ROLES (Essential Job Responsibilities):

Partner with our outsourced accounting firm to establish and implement policies and procedures for financial management, ensuring strong controls and compliance with generally accepted accounting practices.

Verify and allocate transactions for the accounting firm to post.

Work with the accounting firm to manage accounts payable and invoices.

Prepare and submit payroll and all deposits.

Collaborate with the CEO and the accounting firm to deliver timely, accurate financial reporting.

Work closely with club leadership and managers to:

Maintain, analyze, and interpret the general ledger for all funds;

Prepare and analyze financial reports monthly and as needed

Work with the accounting firm to identify and evaluate opportunities to improve financial operations, recordkeeping, and reporting, and coordinate with external auditors on audit schedules and the annual audit report.

Maintain financial records and recordkeeping systems that comply with applicable regulations, generally accepted accounting practices, and contractual requirements.

Serve as the main point of contact with the outsourced accounting firm to support the annual audit process.

Support insurance renewals and obtain certificates of insurance as needed.

Provide phone support alongside other members of the administrative team.

Take on other duties as assigned.
SKILLS/KNOWLEDGE REQUIRED:

High school diploma required; bachelor’s degree from an accredited institution preferred

Equivalent combination of education, training, and experience totaling at least three years in an office administration role

Solid understanding of office management processes

Familiarity with procurement standards and procedures
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
Physical and Mental Requirements: Must be detail-oriented with strong analytical skills, high energy, and comfort managing multiple projects alongside day-to-day activities. Able to work well with diverse personalities while showing tact, maturity, and flexibility.
Environment and Work Conditions: Maintain regular verbal and written communication with the CEO, CAO, board, staff peers, and volunteers to share information and report on progress.
