D'Arienzo Psychology is seeking a highly organized, professional, and detail-oriented Front Office Coordinator to join our bustling psychology practice. This position serves as a critical member of our administrative team and is responsible for ensuring the smooth day-to-day operation of the front office.
We are looking for an individual who takes ownership of responsibilities, follows through on tasks without constant supervision, and understands the importance of exceptional customer service and administrative accuracy.

Essential Duties and Responsibilities
- Answer incoming phone calls professionally and courteously
- Schedule appointments and manage provider calendars
- Welcome patients, clients, and visitors to the office
- Respond to inquiries from patients, attorneys, referral sources, and professional organizations
- Provide exceptional customer service both in person and over the phone
- Enter invoices accurately and ensure payments are properly documented
- Process payments and maintain accurate financial records
- Maintain electronic records and ensure required documentation is received and uploaded in a timely manner
- Contact clients and applicants regarding missing forms, records, or required documentation
- Conduct follow-up calls and emails to ensure administrative requirements are completed
- Coordinate scheduling, testing, and appointment logistics
- Track application, evaluation, and appointment status to ensure timely completion of services
- Monitor administrative workflows and proactively identify outstanding tasks
- Maintain the appearance and organization of the front office, waiting room, and reception area
- Ensure coffee, water, and guest amenities remain stocked and presentable
- Assist with special projects and administrative tasks as assigned
- Work collaboratively with the administrative team to improve efficiency and client experience
- Identify and resolve problems independently whenever possible and communicate concerns appropriately when assistance is needed
Required Qualifications
- Minimum of 2 years of administrative, customer service, or front office experience
- Excellent verbal and written communication skills
- Strong attention to detail and organizational skills
- Ability to manage multiple tasks simultaneously
- Professional phone etiquette and customer service skills
- Proficiency with computers and common office software
- Ability to work independently and as part of a team
Preferred Qualifications
- Experience in a medical, psychological, legal, or other professional office environment
- Experience with scheduling software, electronic records systems, or practice management software
- Experience handling invoicing, payments, billing, or administrative coordination
