Overview
The Office Support Coordinator serves as a key administrative resource for both front desk operations and the Human Resources team. Responsibilities include managing incoming and outgoing Crew & Resident’s mail & shipments, welcoming and assisting visitors, handling phone inquiries, coordinating employee events, facilitating office communications, supporting employee benefits enrollment, and providing shipboard employee support such as travel, training booking, and data entry. Through strong organizational skills and attention to detail, the Office Support Coordinator helps create a positive workplace environment and ensures seamless office and HR support services.
Responsibilities
Shoreside Employee Support
- Provides Front Desk coverage from 8:30 AM till 5:00PM
- Answers/screens and directs incoming phone calls; obtains and delivers messages; and handles routine requests
- Greets and assists visitors; provide refreshments to guests
- Process all incoming and outgoing mail, packages for residents, shipboard personnel, and corporate staff
- This includes logging, packing and sending international Resident mail freight shipments
- Operates office equipment including computer, facsimile, postage and copy machine
- Types letters, memos, reports and forms as required
- Prepares welcome signage for guests and other messages on TV screen
- Sends out company-wide communications Coordinates company events & functions
- Updates and tracks employee demographics, anniversaries, birthdays
- Maintains and orders office supplies & kitchen supplies
- Assists with coordination of cleaning and maintenance of the employee fridge
- Processes and codes invoices for payment
- Maintains shore side employee files
- Facilitates new hire onboarding, workspace preparation, and introductory meetings
- Reconciles corporate credit card statement monthly
- Assists employees in resolving benefit claim related issues
- Assists with open-enrollment communication to employees
- Books hotels for travelling employees
- This position has emergency response duties as defined in the Emergency Manual
Shipboard Employee Support
- Updates shipboard employee’s personal information & signed contracts in HRIS, Adonis
- Assists with flight & hotel requests for shipboard employees
- Enrolls crew members in online training (Crowd, Crisis and Security Awareness)
- Applies for Seaman’s book via Bahamas Maritime Authority (BMA) website
- Enrolls crew members on the Zurich Retirement plan
- Assists with processing of crew medical claims
Qualifications
- Associate’s degree Preferred
- Minimum 3 years’ experience in an administrative capacity preferred providing support to a Human Resource team, Front Office, Executive Assistant or previous HR experience or similar required
- Intermediate to Advanced proficiency with Microsoft Office applications (Word, Excel, and Outlook)
- Advanced typing skill required; at least 50wpmt
- Knowledge of worldwide geography a plus
Physical Requirements
- While performing the duties of this job, the employee is frequently required to sit and talk or hear. The employee is required to walk; use hands to handle or operate computers, office equipment, objects, tools or controls; and be able to raise objects from a lower to a higher position or move objects horizontally from position-to-position.
- The employee must be able to exert up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
- Specific vision abilities required by this job include close visual acuity to perform activities such as preparing and analyzing data and figures; viewing a computer terminal; and extensive reading.
- Works primarily in an office environment. Will be expected to travel as needed.
