Role Overview We are seeking a highly organized and professional Part-Time Administrative Assistant to support our financial services team. In the financial sector, trust is our most valuable asset. Key Responsibilities
- Client Experience: Ensure the reception area and conference rooms are pristine, organized, and ready for client meetings.
- Scheduling & Coordination: Manage team calendars, coordinate schedules, and book client appointments efficiently.
- Documentation & Onboarding: Prepare essential documentation for client reviews and assist with account onboarding processes.
- Office Operations: Handle outgoing mail and overnight shipments, perform basic data entry into our CRM, and maintain organized physical and digital filing systems.
- Compliance & Discretion: Uphold absolute discretion regarding all client data, firm strategies, and proprietary information, adhering strictly to SEC privacy rules.
Qualifications & Requirements
- Experience: 2+ years of administrative or clerical experience, preferably within financial services, banking, legal, or a similarly regulated environment.
- Confidentiality: A demonstrated understanding of data privacy and the critical nature of safeguarding personally identifiable information (PII).
- Professional Demeanor: Impeccable verbal and written communication skills, with a calm and poised presence under pressure that instills confidence in our clients.
- Technical Proficiency: Strong working knowledge of the Microsoft Office Suite (Word, Excel, Outlook) and a proven ability to quickly learn proprietary financial software.
- Education: High school diploma required; Associate’s or Bachelor’s degree preferred.
Pay: $21.00 - $25.00 per hour
