Position Summary
The Personal Assistant provides comprehensive administrative and operational support to the Director of a Cosmetology Academy. This role serves as a key point of contact for students, instructors, vendors, and prospective students while assisting with daily business operations, scheduling, communications, and special projects. The ideal candidate is highly organized, professional, customer-service oriented, and able to manage multiple priorities in a fast-paced educational environment.
Key Responsibilities
Executive Support
- Manage the Director’s calendar, appointments, meetings, and travel arrangements.
- Coordinate and schedule meetings with staff, students, vendors, and business partners.
- Prepare reports, presentations, correspondence, and meeting materials.
- Screen phone calls, emails, and messages, ensuring timely follow-up.
- Assist with personal and business-related tasks as assigned by the Director.
Academy Administration
- Support daily administrative operations of the cosmetology academy.
- Maintain student records, enrollment documentation, and filing systems.
- Assist with student onboarding and orientation processes.
- Monitor office supplies and coordinate purchases with vendors.
- Ensure compliance documents and administrative records are maintained accurately.
Student & Customer Relations
- Respond to inquiries from prospective students regarding programs, admissions, and scheduling.
- Provide exceptional customer service to students, clients, and visitors.
- Assist with appointment scheduling for salon services offered by students.
- Address concerns and escalate issues appropriately.
Marketing & Social Media Support
- Assist with social media content scheduling and posting.
- Coordinate marketing campaigns, promotional events, and community outreach activities.
- Help maintain the academy website and online listings.
- Track inquiries generated through marketing efforts.
Financial & Operational Support
- Assist with invoicing, payment tracking, and basic bookkeeping tasks.
- Prepare operational reports and maintain spreadsheets.
- Support enrollment tracking and student attendance reporting.
- Coordinate vendor communications and service agreements.
Special Projects
- Assist with academy events, graduations, open houses, and recruitment activities.
- Research vendors, products, and business opportunities.
- Support implementation of new systems and operational improvements.
Qualifications
- High school diploma required; Associate’s degree preferred.
- 2+ years of experience as an Administrative Assistant, Executive Assistant, Personal Assistant, Office Manager, or in a similar role.
- Experience in education, beauty, cosmetology, or salon environments preferred.
- Proficiency in Microsoft Office Suite, Google Workspace, and scheduling software.
- Strong written and verbal communication skills.
- Excellent organizational, multitasking, and time-management abilities.
- Ability to maintain confidentiality and exercise discretion.
Preferred Qualifications
- Bilingual English/Spanish preferred.
- Experience supporting C-level executives.
- Knowledge of cosmetology, beauty, esthetics, or vocational education industries.
- Experience with CRM systems, social media platforms, and basic bookkeeping.
Pay: $20.00 per hour
