Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to support our Pastoral team. This vital role involves managing daily administrative tasks, coordinating events, handling correspondence, and ensuring seamless communication within the church community. The ideal candidate will bring enthusiasm, professionalism, and a proactive approach to help our pastors focus on their spiritual leadership while ensuring the office runs smoothly. This paid position offers an exciting opportunity to contribute meaningfully to a vibrant faith-based organization. Hours are 9 am - 2 pm weekdays in the church office. It is not a remote position.
Responsibilities
- Manage and coordinate the pastors’ calendars, including scheduling appointments, meetings, and church events using Planning Center software.
- Provide comprehensive executive administrative support by handling correspondence, preparing reports, and proofreading documents with precision.
- Assist with planning church events and meetings, as requested
- Handle phone inquiries with professionalism and courtesy, utilizing multi-line phone systems and practicing excellent phone etiquette.
- Maintain confidential information with discretion and integrity while managing sensitive church records and internal communications.
- Meet with families in the coordination of memorial services
- Prepare the weekly church bulletin and weekly e-news announcements
- Utilize Canva to prepare simple graphics
- Utilize Planning Center to schedule volunteers and maintain the church data base
Requirements
- Proven experience in administrative assistant roles,
- Strong organizational skills with the ability to manage multiple projects simultaneously while maintaining attention to detail.
- Proficiency in productivity software such as Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and familiarity with video conferencing software like Zoom or Teams.
- Excellent typing skills coupled with effective proofreading abilities to produce clear and accurate documents.
- Exceptional communication skills—both written and verbal—and the ability to handle congregants' inquiries professionally.
- Technical proficiency in office equipment including multi-line phones, printers, scanners, and computers
- Proficient in Planning Center Church Management software, or can readilt learn new software systems.
- Ability to work collaboratively with pastors and staff while maintaining a positive attitude in a fast-paced environment.
