An Administrative Assistant at an energy broker firm is responsible for providing comprehensive administrative support to the sales and trading team, managing client data, generating contracts, ensuring accurate documentation, and coordinating communication with clients and suppliers, all while maintaining a smooth operation within the company's energy brokerage platform.
Key Responsibilities:
· Client Management:
· Maintaining client information and records within the CRM system.
· Processing new client onboarding, including contract setup and data entry.
· Responding to client inquiries and requests in a timely manner.
· Managing client contract renewals and updates.
· Contract Administration:
· Generating and distributing energy supply contracts to clients.
· Reviewing contracts for accuracy and compliance.
· Tracking contract execution and ensuring timely delivery of contracts.
· Managing contract amendments and revisions as needed.
· Data Management:
· Maintaining accurate data on market prices, supplier availability, and client consumption patterns.
· Generating reports on energy usage and cost analysis.
· Utilizing data analysis tools to identify potential opportunities for clients.
· Sales Support:
· Preparing proposals and presentations for potential clients.
· Assisting sales team with lead generation and qualification.
· Coordinating with the sales team to ensure timely follow-up with leads.
· Operational Support:
· Managing administrative tasks such as scheduling meetings, managing calendars, and travel arrangements.
· Maintaining office supplies and managing vendor relationships.
· Filing and archiving important documents electronically.
Required Skills and Qualifications:
· Strong Administrative Skills:
Proven ability to manage multiple tasks efficiently, prioritize work, and meet deadlines.
· Attention to Detail:
High level of accuracy in data entry and document review.
· Communication Skills:
Excellent written and verbal communication skills to interact effectively with clients and internal teams.
· Technical Proficiency:
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM systems.
· Basic Understanding of Energy Market:
Familiarity with the energy market, including different contract types, pricing mechanisms, and regulatory landscape.
Preferred Qualifications:
- Bachelor's degree in Business Administration or related field.
- Prior experience in a customer service or administrative role within the energy industry.
- Knowledge of energy trading platforms and market data tools.
