We are looking for a self-motivated, energetic individual to fill our front desk administrative position. We are a prominent Real Estate Development and Property Management firm in New Castle County, Delaware. This is a unique position that will offer the opportunity to work with customers, vendors and the company's owners/decision makers. Though this position is centered on administrative/property management work, this is a flexible role where you'll be encouraged to participate in all facets of the business.
Major Responsibilities:
- Work closely with owners, resident, tenants, vendors and colleagues regarding property management issues
- Dispatch maintenance requests. Update maintenance database weekly from technician journals
- Act as vendor liaison and prepare vendor contracts
- Prepare and maintain lease files and property binders (which includes lease organization, abstracting and filing)
- Administer tenant and vendor insurance certificates
- Preparation of documents for sale of homes in our residential developments
- Receive guests, answer phones and assist office personnel
- Occasional assistance in various areas of the company including accounting and support of the office as a whole
- Daily mail and light filing
Qualifications/Skills:
- Previous experience as an administrative assistant preferred
- Property Management experience preferred
- Professional personal presentation
- Strong written and oral communication skills, particularly the capability to communicate professionally via e-mail and on the telephone. The ability to think “Outside the Box”
- Proven MS Office experience in Outlook, Word and Excel (experience in Peachtree and Skyline a plus)
- Self-motivated, punctual and well organized. Detail oriented with an interest in growing and expanding responsibilities over time
