Position Summary
This is a temporary, non-exempt position working in an office environment. This position may support multiple departments based on organizational needs and assist with a variety of office support functions to help ensure the efficient day-to-day operation of the nonprofit organization. Responsibilities include document and file management, accounts payable support, vendor communications, office administration, and general administrative assistance. The ideal candidate is highly organized, detail-oriented, comfortable working with multiple priorities, and able to maintain confidentiality.
Essential Duties and Responsibilities
- Assist with processing vendor invoices and maintaining accounts payable documentation.
- Monitor finance email inboxes and organize invoice documentation.
- Review vendor statements and identify missing invoices or discrepancies.
- Assist with organizing financial files, supporting documentation, and records for audits
- Provide administrative support for payroll, grant, and finance projects as assigned.
- Maintain confidential personnel, financial, and administrative records.
- Assist with document retention and organization of electronic and paper files.
- Maintain training logs, administrative records, and other organizational documentation as assigned.
- Assist with onboarding activities including workspace setup, badges, keys, equipment, and administrative paperwork.
- Support staff with administrative requests and day-to-day operational needs.
- Provide general administrative support to management and staff.
- Maintain organized physical and electronic filing systems.
- Prepare correspondence, reports, spreadsheets, and other business documents.
- Assist with scheduling meetings, conference rooms, appointments, and organizational events.
- Coordinate meeting logistics including materials, equipment setup, and refreshments as needed.
- Maintain accurate records, databases, and document retention systems.
- Assist with special projects and other administrative assignments as needed.
Qualifications
- High school diploma or equivalent required.
- Associate degree in Business Administration, Accounting, Office Administration or a related field preferred.
- One to three years of administrative, office support, bookkeeping, or customer service experience preferred.
- Experience in a nonprofit, healthcare, or professional office environment is a plus.

- Proficiency in QuickBooks and Microsoft Office, including Outlook, Word, Excel, and Teams.

- Ability to work independently while collaborating effectively with multiple departments.
Pay: $18.00 - $21.00 per hour
