Overview
Signature Stone is seeking a dependable, organized, and detail-oriented Reception & Accounting Associate to support our front office, customer service, accounts payable, accounts receivable, and general administrative functions.
This position is a great fit for someone who enjoys helping customers, answering phones, staying organized, and supporting a busy office team with accurate paperwork and data entry. The role will include front desk support, customer communication, invoice/payment support, filing, and routine office administration.
We are looking for someone who is professional, reliable, willing to learn, and comfortable working in a fast-paced office connected to a manufacturing and building materials environment.
Responsibilities
- Answer incoming phone calls and route calls/messages to the appropriate team member.
- Greet customers, vendors, and visitors in a professional and friendly manner.
- Assist walk-in customers with basic questions, payments, pickups, and directing them to the correct person.
- Maintain an organized and welcoming front office area.
- Assist with accounts payable tasks, including entering vendor invoices and organizing bills for review.
- Assist with accounts receivable tasks, including customer payments, statements, invoice copies, and follow-up on past-due balances as directed.
- Help maintain accurate customer and vendor records.
- Assist with filing, scanning, data entry, and general office organization.
- Help process routine paperwork such as credit applications, resale certificates, W-9s, certificates of insurance, and customer/vendor forms.
- Support order paperwork, customer follow-up, and communication between office, sales, logistics, production, and accounting.
- Learn and use internal systems such as Sage and other office tools.
- Assist with other administrative tasks as needed.
Experience
- Previous office, receptionist, administrative assistant, customer service, AP/AR, or accounting support experience preferred.
- Strong attention to detail and accuracy.
- Comfortable answering phones and helping customers.
- Basic computer skills, including email, spreadsheets, and data entry.
- Experience with Sage, QuickBooks, or similar accounting/order software is helpful but not required.
- Ability to stay organized and manage multiple tasks throughout the day.
- Professional written and verbal communication skills.
- Dependable, positive, and willing to learn.
- Construction, manufacturing, building materials, or small business office experience is a plus but not required.
- Notary commission is a plus, but not required. Company is willing to cover approved costs for the right candidate to obtain their notary commission after hire.
Pay: $22.00 - $26.00 per hour
