JOB TITLE: Practice Assistant – Missoula Acupuncture
POSITION SUMMARY
Missoula Acupuncture is seeking a compassionate, organized, and positive individual to join our team as a Practice Administrator and Front Desk Reception for a small but thriving health care clinic. This role is the heart of our clinic’s day-to-day operations, ensuring patients feel welcomed, supported, and cared for while overseeing the clinic’s administrative and operational needs. The Practice Assistant manages scheduling, patient communications, billing, clinic logistics, and community outreach. The ideal candidate thrives in a busy wellness environment, demonstrates exceptional organizational skills, contributes creative ideas and feedback in team dynamic, and maintains a calm, healing atmosphere.
SUPERVISOR: Shawn Robertson, LAc owner and practitioner
POSITION STATUS: Part-time, 20–25 hours/week (weekday schedule with major holidays off)
MINIMUM QUALIFICATIONS
- 1-2 years of experience in administrative or office support roles, ideally in healthcare or wellness settings
- Proficiency with Mac operating systems, EHR software, Google Workspace, Canva, Mailchimp
- Strong organizational, task prioritization, and time management skills
- Excellent written and verbal communication skills
- Proven ability to work collaboratively in a team environment as well as independently take initiative
- Commitment to maintaining patient confidentiality and handling sensitive information with compassion and care
ABILITY TO JUMP RIGHT IN TO:
- Insurance billing, payment processing, SOP's
- VA (Veterans Affairs) workflow and documentation
- Interest in holistic health, wellness, and traditional medical systems
KEY RESPONSIBILITIES
Patient & Scheduling Support
- Manage all patient scheduling, phone, and email communications
- Greet, welcome, and engage with patients to ensure a supportive, positive experience
- Facilitate new patient intake forms and workflows, as well as recall workflows
- Track appointment cycles, billing, payments, insurance, and VA workflow
- Develop and distribute patient education materials related to herbal supplements
Clinic Operations & Administration
- Oversee administrative workflows and documentation
- Organize and maintain treatment rooms and shared clinic spaces
- Track inventory and ensure treatment rooms are stocked with necessary supplies
- Perform weekly clinic cleaning and plant care
Communications & Community Engagement
- Create and distribute monthly/seasonal newsletter email campaigns
- Collaborate with clinic partners and local organizations to participate in community events such as wellness fairs
Professional Development & Team Collaboration
- Facilitate and participate in team meetings, training, and staff development opportunities
- Contribute to process improvements, problem-solving, and overall clinic efficiency
