Job Summary
We are seeking a dynamic and highly organized Office/Service Coordinator to join our team! Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems to handle inquiries, schedule appointments, and relay messages promptly
- Maintain organized filing systems, data entry records, and ensure accurate documentation using Microsoft Office and Google Workspace tools
- Assist with calendar management, appointment scheduling, and coordinating meetings for staff and clients
- Perform clerical tasks such as proofreading documents, managing correspondence, and processing invoices using QuickBooks or bookkeeping software
- Support office management by overseeing supply inventory, organizing files, and ensuring the office environment and showroom is tidy and efficient
- Provide excellent customer support by addressing client needs promptly and professionally in person or via phone or email
Experience
- Previous office experience or administrative support role with a focus on customer service excellence
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with multi-line phone systems, data entry, filing, and basic bookkeeping (QuickBooks preferred)
- Bilingual skills are highly desirable to assist a diverse client base effectively
- Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment
- Excellent phone etiquette with experience in handling customer inquiries professionally
- Personal assistant or medical/dental receptionist experience is a plus but not required
