Patient Intake Coordinator
Location: Richmond Vascular Center – North Chesterfield, VA 23236
Richmond Vascular Center is a growing specialty practice dedicated to providing exceptional vascular and women's health care through compassionate service and outstanding patient experiences. We are seeking an organized, compassionate, and detail-oriented Patient Intake Coordinator to serve as the primary point of contact for prospective patients as they begin their care journey.
This role is ideal for someone who enjoys helping patients, thrives in a fast-paced environment, and takes pride in keeping things organized behind the scenes. You'll guide patients from their initial inquiry through consultation by coordinating appointments, obtaining medical records and imaging, preparing charts, and ensuring providers have everything they need to deliver excellent care.
This is a full-time, on-site position based in North Chesterfield, VA 23236.
What You'll Do
- Serve as the primary point of contact for new and prospective patients via phone, email, text, and patient communication platforms
- Guide patients through the intake process with professionalism, empathy, and exceptional customer service
- Schedule physician consultations, MRI appointments, follow-up visits, and other patient appointments according to practice protocols
- Coordinate with imaging centers to ensure physician orders are received and appointments are completed on time
- Request and obtain outside medical records, MRI reports, ultrasound reports, and imaging studies
- Track outstanding medical records and imaging requests to ensure physicians have complete information before consultations
- Review patient charts for accuracy and completeness, including demographic, insurance, and clinical information
- Send new patient paperwork and patient portal invitations while ensuring all required documentation is completed
- Maintain accurate documentation within the electronic medical record (EMR) and practice management system
- Monitor patient progression through the care process and proactively follow up on outstanding items
- Complete daily task queues and maintain organized patient tracking logs
- Collaborate closely with physicians, front office staff, imaging centers, and other team members to ensure a seamless patient experience
- Assist with incoming calls, document management, and other administrative duties as needed
What We're Looking For
- Previous experience in a medical office, healthcare administration, patient scheduling, or customer service role preferred
- Experience operating a multi-line phone system
- Strong communication and interpersonal skills with a patient-first mindset
- Excellent organizational skills and the ability to manage multiple priorities simultaneously
- High attention to detail and strong follow-through
- Comfortable working with computers and Microsoft Office applications
- Experience with electronic medical records (EMR/EHR) or practice management software preferred
- Experience with AdvancedMD, CRM systems, medical scheduling, insurance verification, or medical records coordination is a plus, but not required
- Ability to work independently while collaborating effectively within a team
