For All Seasons, Inc. is a private, non-profit human services agency offering outpatient mental health services, including psychiatry, for children, youth and adults, and crisis support for victims of rape, sexual assault and other traumas. We provide support and services to all individuals, groups, organizations and communities throughout the Mid-Shore to assist, maintain and enhance social functioning regardless of race, religion, income, sex or age.
We are looking to hire a full time Clinical Administrative Assistant.
Essential Duties and Responsibilities
- Provide comprehensive administrative support to the Chief Clinical Officer (CCO), including calendar management, scheduling, meeting coordination, and follow-up.
- Maintain and reconcile the CCO’s Outlook and Electronic Health Record (EHR) schedules to ensure accuracy and consistency.
- Coordinate client appointments, clinical meetings, leadership meetings, and other internal and external meetings.
- Provide administrative support within the EHR, including scheduling, authorizations, treatment plan services, and monitoring outstanding tasks.
- Prepare, maintain, and distribute clinical and operational reports and assist with routine audits and data tracking.
- Support the maintenance of clinical credentialing and certification records and monitor renewal deadlines.
- Coordinate clinical team meetings, and all-staff meeting schedules
- Prepare meeting agendas, document meeting minutes, and communicate follow-up items as directed.
- Maintain accurate, organized, and confidential clinical and administrative records.
- Communicate professionally and effectively with clients, employees, clinicians, leadership, and external partners.
- Exercise discretion when handling confidential and sensitive information and maintain compliance with organizational privacy and security requirements.
- Perform other administrative duties and special projects as assigned in support of the CCO and clinical operations.
Qualifications
- High school diploma or GED required; additional education or training in business administration, healthcare administration, or a related field preferred.
- Minimum of three years of administrative, executive assistant, clinical administrative, or related office experience; experience supporting senior leadership preferred.
- Strong organizational skills with the ability to manage multiple priorities, deadlines, schedules, and competing demands.
- Excellent written and verbal communication skills and the ability to interact professionally with clients, employees, clinicians, leadership, and external partners.
- Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
- Experience working with Electronic Health Records (EHR) preferred.
- Demonstrated attention to detail and ability to maintain accurate records and information across multiple systems.
- Ability to work independently, exercise sound judgment, and complete assignments with minimal supervision.
- Ability to maintain confidentiality and appropriately handle sensitive clinical, client, employee, and organizational information.
- Ability to remain calm, professional, and organized when managing unexpected situations or competing priorities.
- Cooperative, positive, and professional attitude toward employees, clients, visitors, and community partners.
- Ability and willingness to travel as assigned.
- Commitment to providing reliable, timely, and professional administrative support.
