Administrative Service Assistant (ONSITE)
Our client, a leading Pacific Northwest utility provider committed to public service and environmental preservation, is looking for an Administrative Services Assistant with experience in providing administrative support for programs, projects and overall office functions for their Pasco, Washington location. This role provides confidential administrative support to Operations & Maintenance leadership and serves as a key liaison between managers, field employees, and internal support teams. Responsibilities include coordinating daily administrative functions, supporting approximately 25 field personnel, providing backup to other Field Clerks, and ensuring efficient communication and organization across the district. The ideal candidate is highly organized, adaptable, detail-oriented, and thrives in a collaborative, fast-paced environment supporting critical field operations.
This position is a one-year renewable contract that includes employee benefits!
Pay Rate: $32.00 - $34.75/hr. DOE.
Location: Pasco, WA.

Key Responsibilities for Administrative Services Assistant:
- Provide confidential administrative support to leadership and staff in a fast-paced field operations environment.
- Serve as the primary point of contact for visitors, phone inquiries, correspondence, and internal communications.
- Manage complex Outlook calendars, schedule meetings, coordinate travel, and prepare meeting agendas, materials, and minutes.
- Prepare, proofread, format, and distribute correspondence, reports, presentations, spreadsheets, and other business documents using Microsoft Office and Adobe Acrobat.
- Maintain SharePoint sites, document repositories, tracking logs, and organizational records.
- Monitor action items, projects, deadlines, and required documentation to ensure timely completion and follow-up.
- Coordinate onboarding, personnel documentation, training records, performance review tracking, and employee recognition activities.
- Support timekeeping, leave tracking, travel expense processing, purchase card documentation, and other administrative business processes.
- Coordinate office services, equipment, supplies, facilities requests, security access, and technology support with internal departments.
- Assist with interview scheduling, recruitment logistics, and confidential personnel activities.
- Support records management and document retention in accordance with organizational policies and compliance requirements.
- Provide backup administrative support to other Administrative Assistants as needed and contribute to process improvements, cross-functional collaboration, and special projects.
- Plan and coordinate meetings, training sessions, presentations, and employee engagement events.
Requirements for Administrative Services Assistant:
- High school diploma or equivalent is required.
- 6+ years of demonstrated administrative/clerical experience is required.
- 4+ years’ experience with MS Office: Word, PowerPoint, Excel, and Outlook
- Intermediate to advanced experience with SharePoint sufficient to: support, manage, edit and maintain site.
