Job Description
Groundscapes is seeking a highly organized and detail-oriented Material & Operations Coordinator to support our purchasing, inventory, and operational processes. This position works closely with our Purchasing Agent and DB operations team to help maintain accurate records, track materials, process documentation, coordinate information between departments, support customer inquiry intake, and assist with daily business operations.
The ideal candidate enjoys organization, problem-solving, and working with systems and data. This role offers the opportunity to contribute across multiple areas of the business while helping improve efficiency and accuracy throughout our operations. While the position primarily supports purchasing and inventory functions, it will also provide administrative and operational support to the DB division and related business activities.
Responsibilities
Purchasing, Material & Inventory Support
- Enter and maintain inventory and material transactions within company systems
- Receive materials and process supporting documentation
- Enter material usage information and assign materials to the appropriate jobs
- Assist with inventory counts, audits, and inventory accuracy initiatives
- Maintain inventory records, spreadsheets, and material tracking information
- Help organize inventory item lists and supporting documentation
- Assist with purchase order processing and related documentation
- Support inventory management activities within Acctivate and other company systems
- Assist with vendor invoice tracking and supporting documentation
Administrative & Reporting Support
- Organize and maintain digital and physical files
- Scan, file, and archive company documents
- Prepare reports and assist with data entry projects
- Process paperwork related to inventory, materials, purchasing, and operations
- Maintain accurate records across company systems
- Assist with report preparation, system imports, and data verification
Vendor & Operations Support
- Answer and direct vendor phone calls
- Assist with vendor documentation and invoice tracking
- Help resolve missing paperwork and documentation discrepancies
- Support the Purchasing Agent and operations team with administrative tasks
- Occasionally verify materials and inventory information in the yard or warehouse
Customer Inquiry & Scheduling Support
- Respond to new customer inquiries
- Gather basic project information from prospective customers
- Schedule consultations for sales representatives
- Maintain lead tracking information and customer records
- Assist with administrative support activities for the DB division
Systems & Process Improvement
- Support inventory tracking initiatives, including barcode scanning processes
- Assist with inventory system maintenance and data accuracy
- Help identify opportunities to improve organization, efficiency, and workflow
- Assist with special projects and other duties as assigned
Qualifications
- Strong organizational skills and attention to detail
- Comfortable working with computers, spreadsheets, and business software
- Ability to accurately enter, maintain, and verify data across multiple systems
- Strong written and verbal communication skills
- Ability to manage multiple priorities and follow established processes
- Self-motivated, dependable, and able to work independently
- Comfortable occasionally working in a warehouse, yard, or inventory environment to verify materials and inventory information
Preferred Qualifications
- Previous experience in office administration, inventory control, materials coordination, bookkeeping, customer service, administrative support, or operations support
- Experience using inventory management, accounting, CRM, or ERP software such as Acctivate, QuickBooks, or similar systems
- Experience with Microsoft Excel, Google Sheets, or similar spreadsheet programs
- Experience in construction, landscaping, distribution, warehousing, or related industries is a plus
Pay: $20.00 - $22.00 per hour
Expected hours: 40.0 per week
