Duties
- Manage front desk responsibilities, including greeting visitors and directing inquiries with professionalism and courtesy
- Operate multi-line phone systems to handle incoming calls efficiently, providing accurate information or routing calls appropriately
- Maintain organized filing systems, both physical and digital, ensuring quick retrieval of documents and records
- Perform data entry tasks with high accuracy using computer literacy skills, including Microsoft Office and Google Workspace tools
- Support bookkeeping activities by utilizing QuickBooks for invoicing, expense tracking, and financial record keeping
- Assist with calendar management and scheduling appointments or meetings for team members or clients
- Provide exceptional customer support by addressing client inquiries promptly and professionally
- Conduct proofreading of documents to ensure clarity, accuracy, and professionalism in all communications
- Handle office management duties such as supply inventory, mail distribution, and maintaining a clean, efficient workspace
Experience
- Proven office experience with a strong background in administrative support roles
- Clerical experience demonstrating proficiency in filing, data entry, and document management
- Familiarity with QuickBooks accounting software and basic bookkeeping procedures
- Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Bilingual abilities are highly desirable to assist diverse client needs
- Previous experience as a personal assistant or in office management roles is advantageous
- Exceptional phone etiquette skills combined with experience managing multi-line phone systems
- Demonstrated ability to manage time efficiently while maintaining attention to detail
