DEPARTMENT DESCRIPTION
Our Claims Department is responsible for adjusting claims for all lines of business from first notice of loss to conclusion. We have a strong focus on customer service and helping our clients through what can be difficult moments in their lives.
POSITION SUMMARY
The Claims Assistant provides essential administrative and customer service support to SurSafe Mutual Insurance Company’s Claims Department. This position is responsible for assisting with claim intake, directing internal and external inquiries, supporting adjusters and department staff, and performing clerical duties that help ensure claims are handled accurately, efficiently, and with a strong focus on service to policyholders.
The ideal candidate is detail-oriented, dependable, and professional, with strong communication and organizational skills. This person should be comfortable managing multiple priorities, assisting customers and coworkers with patience and accuracy, and working as part of a team in a service-focused office environment.
DUTIES
- Answer and direct incoming calls from policyholders, claimants, contractors, adjusters, and other partners; provide basic claim information and route inquiries appropriately.
- Set up incoming claims and assign adjusters.
- Assist with clerical and administrative duties, including filing, data entry, scanning documents, processing mail, letter writing, and maintaining accurate claim records.
- Communicate professionally with internal teams and external parties to support the customer experience and ensure claims progress efficiently.
- Maintain confidentiality and handle sensitive information in compliance with company policies and insurance regulations.
- Manage and track all information on the Litigation Tracking Report.
- Complete scheduled reporting by collecting data, preparing daily/weekly/monthly reports, and ensuring accuracy and timely distribution.
- Coordinate and schedule meetings as requested by management; prepare materials and manage calendar logistics.
- Process defense attorney invoices for payment.
- May handle lower-level claim files.
QUALIFICATIONS
- Proficiency in Microsoft Office Suite (especially Excel and Word) and the ability to learn and utilize various computer software programs.
- Strong written documentation and reporting skills to maintain regulatory compliance and accurate recordkeeping.
- Strong organization and attention to detail is crucial for accuracy in data entry, document review, and ensuring policy correctness.
- Strong customer service and phone communication skills.
- Strong interpersonal, written, and verbal communication skills are essential for building rapport and conveying complex information clearly. Must be able to show empathy and professionalism when working with claimants.
- The ability to work independently and prioritize time effectively is critical. Good time management and ability to handle multiple tasks at once.
- Highschool Diploma or GED (required)
