About the Opportunity
We are seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative support to a senior executive within a fast-paced organization.
This role requires exceptional organizational skills, sound judgment, outstanding attention to detail, and the ability to anticipate needs while managing multiple competing priorities. The ideal candidate has extensive experience supporting C-suite executives, thrives in a dynamic environment, and consistently maintains the highest level of professionalism, discretion, and confidentiality.
Required Qualifications
- Bachelor's degree.
- Five (5)+ years of experience providing executive administrative support to C-suite leadership.
- Extensive experience managing complex executive calendars, coordinating meetings across multiple stakeholders, and balancing competing priorities.
- Demonstrated ability to handle highly confidential and sensitive information with discretion and professionalism.
- Exceptional organizational, time management, and prioritization skills.
- Outstanding verbal and written communication skills.
- Advanced proficiency with Microsoft Office Suite, including Outlook, Teams, Word, Excel, PowerPoint, and AI productivity tools.
- Ability to work independently, exercise sound judgment, and manage multiple deadlines in a fast-paced environment.
Preferred Qualifications
- Experience supporting senior executives within a large or complex organization.
- Experience coordinating executive meetings, travel, and special projects.
- Advanced degree.
Key Responsibilities
- Provide comprehensive administrative support to a senior executive while ensuring seamless day-to-day operations.
- Manage a complex executive calendar, coordinating meetings, prioritizing requests, resolving scheduling conflicts, and ensuring efficient use of executive time.
- Coordinate domestic travel arrangements, itineraries, meeting logistics, and related administrative activities.
- Prepare presentations, reports, correspondence, meeting agendas, and other executive materials.
- Organize meetings, capture notes, track action items, and ensure timely follow-up on deliverables.
- Screen communications and prioritize matters requiring executive attention.
- Serve as a professional point of contact for internal and external stakeholders while building strong working relationships across the organization.
- Coordinate cross-functional meetings, initiatives, and special projects.
- Maintain highly confidential records, files, and documentation with the utmost discretion.
- Anticipate executive needs, proactively identify potential issues, and recommend effective solutions.
- Develop, document, and improve administrative processes to increase efficiency and effectiveness.
- Perform additional administrative responsibilities and special projects as assigned.

Pay: $85,000.00 - $117,941.70 per year
Work Location: Hybrid remote in Oakland, CA 94605
