Job Overview
The Guest Service Specialist is responsible for creating a welcoming, professional, and positive experience for guests, customers, members, or clients. This role serves as a first point of contact, assisting with inquiries, check-ins, appointments, reservations, account or service questions, and general support needs.
The ideal candidate is friendly, dependable, detail-oriented, and comfortable solving problems in a fast-paced environment. This position requires strong communication skills, a service-first mindset, and the ability to represent the organization with professionalism and care.
Responsibilities include:
- Greet guests, customers, or members warmly and provide a positive first impression.
- Answer phone calls, emails, and in-person inquiries in a professional and timely manner.
- Assist with check-ins, appointments, reservations, registrations, or service requests.
- Provide accurate information about company services, policies, promotions, locations, and procedures.
- Resolve guest concerns or complaints with patience, empathy, and professionalism.
- Escalate complex issues to the appropriate manager or department when needed.
- Maintain accurate records, forms, payments, reservations, account notes, or front-desk documentation.
- Support daily administrative duties such as filing, data entry, scheduling, and correspondence.
- Coordinate with internal teams to ensure guests receive timely and complete service.
- Maintain a clean, organized, and welcoming front desk, lobby, or service area.
- Follow company procedures related to privacy, safety, security, and customer service standards.
- Identify opportunities to improve the guest experience and support team goals.
Required Skills & Qualifications
Experience Previous customer service, hospitality, retail, , or front desk experience preferred
Communication Strong verbal and written communication skillsTechnology
Comfortable using computers, phones, scheduling tools, customer databases, and basic office software Organization
Ability to manage multiple tasks while maintaining accuracy and professionalism
Availability Flexible schedule may be required, including evenings, weekends, or holidays depending on business needs
Hands-on experience with SpaSoft is often required.
Familiarity with holistic wellness trends, skincare products, and specific massage/body treatments to provide expert recommendations.
