Job Summary:
The Receptionist is the first point of contact for clients, visitors, and employees. This role requires excellent customer service, strong communication skills, and the ability to manage a variety of administrative tasks. The Receptionist ensures the front desk operates efficiently, providing a welcoming environment while maintaining professionalism.
Key Responsibilities:
1. Greeting and Welcoming Visitors:
- Warmly greet and direct visitors or clients as they enter the office.
- Inform appropriate staff of guest arrivals.
2.Phone Management:
- Answer, screen, and forward incoming calls professionally.
- Handle inquiries or direct them to the relevant department.
3. Mail and Courier Services:
- Receive, sort, and distribute mail and deliveries.
- Prepare outgoing mail and coordinate courier services as needed.
4. Scheduling and Appointments:
- Maintain appointment schedules and calendars for staff or conference rooms.
- Book and confirm meetings, appointments, and travel arrangements if required.
5. Office Maintenance:
- Ensure the reception area is clean, tidy, and presentable at all times.
- Oversee office supplies inventory and place orders when necessary.
6. Data Entry and Record Keeping:
- Maintain visitor logs and ensure accurate record-keeping.
- Assist with data entry and filing tasks when required.
7. Administrative Support:
- Provide general administrative and clerical support (e.g., photocopying, faxing).
- Assist other departments with tasks such as document preparation or handling inquiries.
8. Safety and Security:
- Ensure compliance with office security protocols.
- Monitor visitor access and issue passes when necessary.
Required Qualifications:
- High school diploma or equivalent.
- 1-2 years of experience in a similar role.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong communication skills (both verbal and written).
- Excellent organizational skills and attention to detail.
- Ability to work in a fast-paced environment.
- Professional demeanor and appearance.
Preferred Qualifications:
- Experience with multi-line phone systems.
- Familiarity with office management procedures.
- Additional certifications in customer service or office administration.
