Position Summary
The Project Management Assistant (PMA) plays a vital role in supporting successful project delivery through project administration, documentation, contract administration, billing support, procurement coordination, and project closeout. Working closely with Project Managers, Superintendents, subcontractors, and project stakeholders, the PMA helps ensure project information remains accurate, organized, compliant, and readily accessible throughout the project lifecycle.

Responsibilities
- Support Project Managers and Superintendents throughout all phases of commercial construction projects.
- Maintain project files, electronic document management systems, and project records.
- Coordinate project startup documentation and project setup activities.
- Maintain RFI, Submittal, ASI, Change Order, Purchase Request, and other project tracking logs.
- Assist with contract administration and project documentation routing.
- Prepare owner billing support documentation and assist with project financial administration.
- Track subcontractor compliance requirements, including insurance certificates, lien waivers, and required documentation.
- Assist with subcontract preparation, procurement tracking, and vendor documentation.
- Coordinate project closeout documentation, including warranties, O&M manuals, as-built drawings, punch lists, and final closeout packages.
- Maintain accurate project management software and reporting systems.
- Communicate professionally with Project Managers, Superintendents, subcontractors, owners, architects, and vendors.
- Support continuous improvement of project management processes and company standards.
Qualifications
- Associate's or Bachelor's degree in Construction Management, Engineering, Construction Engineering Technology, or a related field preferred.
- One to three years of construction administration, project coordination, or project management experience preferred. Internship or cooperative education experience will also be considered.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize multiple projects and meet deadlines in a fast-paced environment.
- Ability to read and interpret construction drawings and specifications.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office and construction management software such as Procore, Bluebeam, or similar platforms.
- Valid driver's license and reliable transportation.
- Ability to pass required background and drug screening.
- Willing to travel to project sites throughout the region as needed. Most projects are within a 1–2 hour drive of Pendleton, with occasional assignments elsewhere in the Pacific Northwest requiring overnight travel. Company-paid lodging and daily per diem are provided when overnight travel is required.

Schedule
- Full-time
- Monday-Friday
- Typical work hours: 8:00 a.m. – 5:00 p.m.
Work Location
Based in Pendleton, Oregon, with projects throughout Eastern Oregon and the Pacific Northwest. Most work is performed from our Pendleton office with periodic visits to regional project sites. Most project travel is within a 1–2 hour drive of Pendleton, with occasional overnight assignments at more distant project locations. Company-paid lodging and daily per diem are provided when overnight travel is required.

Pay: $70,000.00 - $95,000.00 per year
