Position Summary
The Project Coordinator is responsible for creating and issuing purchase orders, booking travel, ordering rental equipment, gathering closeout documents
Primary Responsibilities and Duties

Make travel arrangements for field and office personnel.
- Traveler’s Haven platform
- National Rental Car/Enterprise Fleet
- Knowledge of how to book, reschedule, etc
- Issue, update, cancel Purchase Orders
- Assist in gathering and processing submittals and operation and maintenance manuals
- Order and maintain tracking of Equipment Rentals through Sunbelt, United, etc on a weekly basis
- Finding and assisting in New Vendor Set-Up
- Finding contractors for stone, concrete, core drilling, saw cutting for jobsite needs
- Keep Project Team Information Sheet current
- Attend all department/company meetings
- Upload and code AMEX charges each month and assist any department members with completion of their accounts, as needed
- Managing Daily Reports, Highlighted Drawings and other various tasks
- Clean up job folders, save all documents in correct areas on G Drive
- Receive and get approval on temporary employee time sheets from PM, send to AP
- Receive, sort and send expenses receipts, travel maps, and job sign in sheets to assist in Time Review and Submittal process each week
- Permitting/Licensing knowledge
- Update CE job information, purchase orders and subcontracts, as needed
- AP approval routing reconciliation
- Assist PM’s by printing billing worksheets, open PO reports and labor and material
- reports for jobs prior to WIP each month
- Assist with gathering contract documents for new jobs ie verified lists, COI, etc as needed
- Keep spreadsheet of department employees updated for easy availability
- Daily correspondence and tasks as requested by Directors, PM’s and Supers
- Shipping/freight for department, as needed
- Maintain department shared calendar
- Maintain meeting invites through Teams
- Documenting and following up on outstanding items
- Obtain certificate of insurance for new projects.
