We host a variety of events throughout the year, including networking mixers, educational workshops, fundraisers, and community celebrations. Position Overview: The Events Coordinator will assist the COO and Chamber team in planning, organizing, and executing a range of events that advance the Chamber's mission and provide value to our members, and will also coordinate and execute a few smaller events independently. This role requires strong project management skills, excellent communication abilities, and a proactive, positive approach to problem-solving. The ideal candidate will be passionate about event planning and dedicated to fostering business growth and community engagement.

- Standard work hours: Monday-Friday, 8:30 AM - 5:00 PM
- Occasionally, early mornings, evenings, and weekends are required

Key Responsibilities:
Event Planning and Coordination
· Collaborate with the team to understand event goals, target audiences, and desired outcomes.
· Assist in developing comprehensive event plans, timelines, and task lists to ensure all aspects of events are well-organized and executed efficiently.
· Create and maintain event pages in Chamber Master/website.
· Manage event registration processes in Chamber Master and event Excel spreadsheets.
· Manage event sponsorship registrations including but not limited to registering sponsors in Chamber Master, communicating to team members the addition of their sponsorship, and ensuring they are added to event related marketing materials.
· Creation of event-related marketing materials such as sponsor graphics for the website, placemat, programs, agendas, and other marketing materials as assigned.
On-site Event Management
· Assist at the direction of the COO in event setup, execution, and teardown, ensuring all elements are in place and events run smoothly.
· Manage the procurement and coordination of volunteers providing clear instructions and support.
Budget and Financial Management
· Manage event budgets, ensure income & expenses are tracked and remain within budgetary constraints for all events.
· Provide accurate cost estimates to the Chamber team and seek opportunities to maximize value while minimizing costs.
· Reconcile event-related reports, invoices, and payments with vendors, sponsors, and participants post-event.
Event Responsibility Overview
All events on the Chamber’s event calendar will be handled by this position, but this position will be solely responsible, under the vision of management, for planning, coordinating, executing, and post-event reconciliation of the following events:

· Coffee & Connections
· Lunch & Learns
Other Duties
· Special projects or other duties as assigned.
Qualifications:
· High school diploma or equivalent; associate or bachelor’s degree in business administration or a related field is preferred.
· Minimum of 2-3 years of experience in event planning or coordination, preferably within a Chamber of Commerce or nonprofit organization.
· Ability to manage one’s own time, set priorities, and meet deadlines.
· Strong organizational and project management skills, with the ability to handle multiple tasks simultaneously and meet deadlines with a positive attitude.
· Excellent communication and interpersonal skills, with the ability to engage effectively with a diverse range of stakeholders.
· Proficient knowledge of Microsoft Office Suite (including Outlook, Word, & Excel) is a must.
· Experience with Canva, Adobe, and Chamber Master is an added plus.
· Flexibility to work early mornings, evenings, and weekends as required.
· Ability to lift office products & supplies up to 30lbs.
Preferred Qualifications:
· Experience working in a Chamber of Commerce or similar organization.
· Familiarity with the Brunswick-Golden Isles community and local business landscape.
Working Conditions:
· Full-time position with occasional evening and weekend hours required for events and meetings.
· Office environment with some local travel for meetings and events.
Pay: $39,000.00 - $41,000.00 per year
