Job Summary
NatureMade Creative Agency is looking for a detail-oriented and creative-minded Personal Assistant and Content Coordinator to support the Creative Director in day-to-day operations. This is a remote-friendly, part-time role with occasional on-site requirements. You will be the person keeping everything organized and moving — from client communication and task management to content curation and research. Duties
- Maintain and update the Notion workspace daily — deadlines, shoot dates, client notes, and project status
- Keep the Creative Director on track with reminders, follow-ups, and prioritized task lists
- Make outbound calls to prospects, leads, and vendors on behalf of the Creative Director
- Send cold and follow-up emails and DMs using approved scripts and templates
- Answer and manage inbound calls with professional phone etiquette — taking messages and routing appropriately
- Respond to routine client messages using approved templates
- Send contracts, invoices, and intake forms through HoneyBook
- Follow up on content approvals before client deadlines
- Organize and deliver project files across Google Drive and Fast.io
- Schedule and maintain content calendars in Later across all client accounts
- Curate and organize content for NatureMade business pages and the Creative Director’s personal Instagram
- Build prospect lists and research leads by vertical
- Pull trending audio, content formats, and competitor references for shoot planning
- Take notes during discovery calls and summarize action items
- Assist with on-site shoot day logistics, behind-the-scenes content capture, and vendor coordination when needed
- Occasional local driving may be required for errands, equipment pickup, or shoot day support
Experience
- 1 or more years of experience in an administrative, creative, or social media coordination role
- Professional phone etiquette — comfortable making and receiving calls on behalf of a business
- Strong written communication skills — emails, DMs, and client-facing messages must be clear, professional, and on-brand
- Experience sending outbound emails and DMs for outreach or follow-up purposes
- Proficient in Google Drive, Notion, and Canva
- Familiar with or willing to learn HoneyBook, Later, Fast.io, and CapCut
- Experience managing or curating social media content is a plus
- Highly organized, self-directed, and comfortable working without constant supervision
- Ability to represent a brand professionally in all written and verbal communication
- Punctual, reliable, and takes ownership of tasks without being reminded
- Must be able to maintain confidentiality — you will have access to client information, contracts, and business financials
- Valid driver’s license and reliable transportation preferred — not required for remote candidates
